Summary :The Oncology Surgery Scheduler coordinates and schedules inpatient and outpatient surgeries and procedures with anesthesia, team leaders, surgeons, physician offices, and other hospital departments to ensure correct equipment, tools, and time are allocated for procedures. The oncology scheduler performs all related functions to appropriately schedule patient visits, procedures, and treatments in a timely/ efficient manner for our patients across all services (internal and external) that are required to support the patients complex care plan. Key customers include physicians, independent provider offices, internal departments, patients, and families.

Job Description:

KEY ACCOUNTABILITIES:

1. Schedules requests for surgeries and procedures to accommodate appropriate parties.

2. Demonstrates service skills to provide an exceptional customer service experience.

3. Proactively problem solves access to meet stakeholder needs and optimize resource utilization.

4. Performs administrative tasks related to the surgery/procedure to ensure timely delivery of care, including obtaining or verifying prior authorization or performing patient registration.

5. Addresses patterns of access concern and escalates to appropriate leader or group.

6. Coordinates scheduling of multiple and complex appointments for specialty area according to protocols and schedule templates with instruction by the provider and/or clinician. Ensures scheduling of appointments is within correct time frame as needed.

7. Coordinates scheduling of patient appointments for services/procedures outside of specialty area in accordance with the patients clinical care plan / physician orders. This includes appointments with independent organizations and specialty services.

8.Interacts with patients after clinical visit is complete to schedule future appointments, procedures and treatments.

9.Cancels and reschedules patient appointments according to physician and/or clinic schedule changes. Communicates changes efficiently and effectively with the patient. Follows up with appropriate parties to inform them of changes or additions to scheduled procedures.

10. Utilizes various scheduling systems to effectively schedule multiple and complex appointments for customers, proactively troubleshooting to minimize defects and rework, and following through to resolve conflicts.

QUALIFICATIONS: • High school diploma or GED Preferred: •Associates Degree

Preferred EXPERIENCE: • One+ years of scheduling experience in a health care setting

PHYSICAL DEMANDS: • Ability to move freely (standing, stooping, walking, bending, pushing, and pulling) and lift up to a maximum of twenty-five (25) pounds without assistance • Job classification is exposed to blood borne pathogens (blood or bodily fluids) while performing job duties

WORK ENVIRONMENT: • Infrequent exposure to sharp objects and instruments • Occasional exposure to moving mechanical parts, fumes or airborne particles, toxic or caustic chemicals, and risk of electrical shock • Possible exposure to communicable diseases, hazardous materials, and pharmacological agents • Occasional contact with aggressive and or combative patients • Use of computers throughout the work day • Frequent use of keyboard with repetitive motion of hands, wrists, and fingers • Normally works in climate controlled office environment • Frequent sitting with movement throughout office space

May be some travel between Appleton, Neenah, Oshkosh, Berlin, New London, Waupaca, and Shawano.
