We are seeking someone who will make the commitment to lead with determination, integrity, and purpose, embodying these essential qualities: + Past experiences and actions reflect a commitment to the TLCS mission, vision, core values + A passion and ability to serve parents, scholars, teachers, and leaders and exude the organization’s CREATE values. + Work in schools that demonstrate a sense of urgency and the relentless pursuit of high academic student achievement + Reflective, self-aware, and adaptable to the communication and work styles of others + Critical thinker and problem solver who takes initiative + Belief in the power of collaboration and works to build a collaborative culture with the TLCS community, staff, families, and students COMPLIANCE + Ensure completion of local, state, and federal compliance tasks (Tulsa Public Schools, Oklahoma State Department of Education, Department of Education, etc.). + Lead the annual reporting and documentation for reports adjacent to the Wave, including but not limited to Free and Reduced Lunch, CEP, FQSR, and ASR. + Track and meet all deadlines for state and federal reporting, ensuring timely submission. + Collaborate with external auditors and internal stakeholders to address flagged issues, such as findings from child nutrition or compliance audits. + Generate data charts in response to requests from stakeholders, including board members, media, funders, and federal, state, and local government entities. + Manage and resolve errors in Wave. + Manage, execute, and resolve single sign-on errors related to out-of-district transfers, STNs, and other student information systems issues. + Complete quarterly grade book audits and manage the process of storing quarterly grades in PowerSchool. DATA, PLATFORM, AND SYSTEMS MANAGEMENT + Ensure seamless integration of the SIS with other district systems and platforms, such as ParentSquare, Centreli, learning management systems (LMS), transportation, and food services. + Maintain compliance with all relevant data privacy laws and district policies, implementing measures to protect student data from unauthorized access or breaches. + Manage the flow of information for all new staff and students to ensure successful integration into all electronic systems throughout the organization, including entering existing data and creating new accounts for platforms used by TLCS. + Configure and update platforms to accommodate changes in district policies, state regulations, and user requirements. + Develop and maintain comprehensive documentation of system configurations, processes, and procedures to ensure consistency and continuity in system management. + Develop solutions to reduce redundant or unnecessary data entry. + Maintain and manage all student, teacher, and organizational data related to student information. + Provision all student and staff accounts in the SIS and all other academic platforms. + Manage user access and permissions for platforms, ensuring appropriate levels of access based on roles and responsibilities. + Conduct quality audits to ensure accurate and complete data warehousing across student information systems. + Provide ongoing technical support to all internal and external stakeholders across platforms. + Support district staff on effective platform usage, including troubleshooting and problem resolution. + Manage and implement new systems or technologies at the school and district levels. + Maintain and troubleshoot the integrity of the data between systems. + Regularly coordinate with vendors, such as OPAA! and Wengage, to ensure proper system integration and data flow. ENROLLMENT AND RECRUITMENT + Manage and lead district application functions, including list management, lottery management, waitlist management, and mass communication. + Oversee the student application process, including the collection and verification of required documents, and communicate application status to applicants and their families. + Ensure all enrollment forms and documentation are complete, accurate, and compliant with district, state, and federal regulations. + Enter and maintain accurate enrollment data in the SIS, ensuring records are up-to-date and easily accessible. + Serve as the primary point of contact for prospective students and their families, providing information about the school, programs, and enrollment process. + Monitor and report on enrollment trends, application statuses, and recruitment activities, providing regular updates to school administration. + Collect feedback from prospective students and families to identify areas for improvement in the enrollment process and enhance recruitment efforts. + Manage enrollment trackers that include Avela application processes, relevant document uploads, communication touchpoints, and records requests to previous schools. + Use platforms like ParentSquare to enhance communication strategies with families. HUMAN RESOURCES + Oversee the operation and maintenance of the Centreli platform, ensuring its reliability, accessibility, and performance for all users. + Manage user accounts, including the creation, modification, and deactivation of employee profiles, ensuring accurate information and appropriate access levels. + Configure the Centreli platform to reflect current PTO policies, including the type of leave allocations, carryover limits, and eligibility criteria, ensuring compliance with organizational policies and procedures. + Ensure PTO balances are accurate and reflect the time earned and used by employees. + Generate reports on PTO usage, trends, and balances to provide insights for management and support strategic decision-making. + Coordinate with payroll and HR departments to ensure seamless integration of PTO data with payroll processing and other HR systems, ensuring accurate compensation and compliance with labor laws. + Develop training resources to assist employees in navigating Centreli and understanding PTO policies. STUDENT INFORMATION SYSTEMS + Manage and lead district PowerSchool functions, including annual data rollover, school site schedule creation, running PowerSchool data reports, correcting and adjusting existing errors, etc. + Facilitate and manage student enrollment and registration processes, ensuring all required documentation is collected and verified. + Enter, update, and maintain accurate student information in the SIS, including but not limited to demographics and course enrollments. + Maintain and ensure the accuracy of permanent student records, including transcripts, report cards, and immunization records, ensuring they are securely stored and easily accessible. + Monitor, record, and report student attendance accurately, identifying and addressing any discrepancies in attendance data. + Serve as the primary contact for parents, guardians, and students regarding registration and records, assisting and resolving any issues or concerns. + Work closely with school staff, including teachers, counselors, administrators, and district departments, to support student data needs and ensure seamless data flow. + Support school staff on using the SIS, data entry protocols, and report generation, ensuring proper usage and data integrity. + Ensure compliance with federal, state, and district regulations related to student data, preparing and submitting necessary reports and documentation as required. + Coordinate system upgrades, troubleshoot issues with the SIS, and work with IT staff to implement new features and improvements. + Assist in developing and implementing policies and procedures related to student records and data management, ensuring consistency and adherence to best practices. + Conduct regular data validation processes, run periodic error reports, and fix discrepancies proactively. + Collaborate with IT for data security measures, including backups and system recovery processes to safeguard student information. The list above is not exhaustive; this job includes other duties as assigned. + Bachelor's Degree strongly preferred + Thorough knowledge of varied data platforms and the ability to create systems and structures through Google Drive, Microsoft Excel, Google Sheets, + Thorough knowledge of district and state SIS systems, such as Powerschool, Centrelli, Clever (including apps connected to Clever), Wave, Single Sign On, and other Oklahoma State Department Reporting Platforms, Parent Square, Map NWEA, + Experience internalizing and interpreting large quantities of written information + Ability to implement processes based on trends + Ability to establish and maintain effective working relationships with staff, students, administration, and parents/guardians. + Must believe in our core values of C.R.E.A.T.E (Commitment, Rigor, Excellence, Achievement,Teamwork, Empathy)
