Position Summary:
Reporting to the Associate Director IT, but also liaising closely with other stakeholders in the Faculty, the incumbent possesses strong project management skills and is primarily responsible for managing the Customer Relationship Management (CRM) system for the Faculty by bridging the gap between the CRM and the users.

Primary Responsibilities:

- Act as liaison between Business Subject Matter Experts, technical teams and/or third-party vendors as required.

- Prepare ad hoc reports for senior administration of the Faculty.

- Develop application/software documentation, user documentation and training materials

- Obtain pricing and prepare quotes, research suppliers, and prepare recommendations for software purchase and equipment.

- Create and manage changes to the system by proactively seeking and identifying needed system changes, as well as gathering feedback from users.

- Manage new releases of Sales Force Dot Com (SFDC) and efficiently roll out new features; oversee ongoing customization of SFDC.

- Assist with the migration from older systems and processes into SFDC.

- Monitor and maintain data quality in the record master database and improve reporting and segmentation.

- Manage and maintain systems/record databases, ensuring accurate and up-to-date information, working closely with the Infrastructure as well as ICS/NCS teams.

- Set up new initiatives, such as Salesforce Navigator, by reviewing the product; analyzing our needs, setting up the account and maintaining the relationship with our sales representative.

- Research and evaluate new and emerging technologies.

- Keep up-to-date of professional and technical knowledge by attending educational workshops, reviewing professional publications and establishing personal networks.

- Evaluate feasibility, provide estimates, design solutions and prepare detailed specifications.

- Create new processes and associated reporting.

-Monitor and maintain system security, availability, and integrity.

-Maintain the integrity of the operating system environment; monitor, troubleshoot, and maintain systems; analyze exception-based events and develop proactive solutions.

-Install new system servers and other devices, add, and remove individuals from the list of authorized users, archive files, manage password protection and other security measures, monitor usage of shared resources, and handling equipment malfunctions.

-Perform health checks, technical upgrades including planning, scheduling, and testing.

-Implement and use backup and restore techniques.

-Create and maintain scripts used in automation of repetitive tasks.

-Audit hardware, software, and configurations, via automation where possible, to ensure compliance with established standards, policies, procedures, and configuration guidelines.


Other Qualifying Skills and/or Abilities

Proven ability to work independently and cooperatively as a member of a team. Ability to coordinate efforts and collaborate with a variety of stakeholders. Demonstrated ability to use Microsoft Office suite, with particular expertise in Excel, and effective data entry skills. Strong attention to detail. Excellent organizational, analytical, and problem-solving skills. ​Ability to manage a repetitive workload and retain high processing speed and quality. Experience working with various cloud-based software platforms: Slate, Salesforce, and Pardot. Effective team coordination, time management, and communication skills. English (spoken and written); French (spoken and read). Knowledge of French and English:  McGill University is an English-language university where day-to-day duties may require English communication both verbally and in writing.  The level of English required for this position has been assessed at a level of 4 on a scale of 0-4.
