Systems and Senior Project Analyst

Position Summary:

Part of the Enrolment Services project team and responsible for the planning and development of policies as well as the implementation, configuration, and maintenance of information systems in response to the needs of students and staff. Design and lead special IT projects, integrating new technologies and infrastructures. Provide training and support on new systems, including communication and training material. Support change management processes and optimize products and offerings to meet changing University demands. Additionally, this position provides comprehensive support for Admissions Systems, including system configuration, maintenance, and troubleshooting, and may also be assigned to non-Admissions projects within Enrolment Services.

Duties and Responsibilities:

Participate in the development and implementation of policies, new initiatives, and IT solutions that support the strategic direction of Enrolment Services.Lead and contribute to project planning, defining business solutions, gathering requirements, and designing IT application solutions. Monitor project deliverables, establish milestones, and participate in communication and change management plans.Configure, maintain, and support key admissions and recruitment systems, including:Undergraduate, scholarship, post-doctoral, graduate research trainee, Summer Academy, Summer Studies, undergraduate exchange, and School of Continuing Studies application and review processes.SLATE for Admissions and Recruitment, including system configuration, enhancements, troubleshooting, bug fixes, and ongoing operational support.Data management and reporting: configuring queries, reports, and forms to support Admissions, Recruitment, and academic units.Recruitment portals (Prospect Portal and Gradhub): maintenance, troubleshooting, and communication management.Supporting mass communications via SLATE for other units, including Student Records and Service Point.Conduct system evaluations, audits, and performance optimizations. Identify and implement new features and upgrades based on vendor releases, ensuring appropriate testing and configuration adjustments.Analyze and evaluate existing or proposed systems, prepare system specifications and flowcharts, and develop automated solutions to enhance processes.Develop and execute system testing strategies, including user acceptance testing and functional validation.Liaise with clients, vendors, and suppliers to address critical IT and operational needs, ensuring effective system integration across faculties and departments.Deliver training and user support on new and existing systems, developing training materials and guiding users through system enhancements.Participate in requests for information and calls for tenders related to system solutions and integrations.Supervise project execution, ensuring alignment with objectives and timelines.May be assigned to non-Admissions projects within Enrolment Services, responsible for gathering requirements, project planning, system configuration, testing, training, and ongoing system support.

Other Qualifying Skills and Abilities:

Demonstrated experience in administering, analyzing, supervising, managing, and directing the planning and implementation of large-scale business processes to respond to the University’s needs, goals, and mission. Strong oral and written communication skills in English and French, with a proven ability to define solutions involving the use of computer systems, information flow, and architecture. Experience in configuring, maintaining, and optimizing admissions and recruitment systems, including Slate or similar platforms. Ability to analyze and interpret large sets of data, validate requirements, design automated system details, and plan and execute testing processes. Experience in developing web-based, desktop, or content management systems to support University needs. Ability to support business intelligence and educational technology initiatives and projects. Strong problem-solving skills and the ability to adapt to evolving technology and business needs.
