The Role
Maintain the Client Information database Handle client project administration such as project setup, issue and follow up on invoices, prepare financials reports and support project managers in managing project financials Produce materials and coordinate mass mailing activities on behalf of the practice. Schedule client meetings Screen telephone calls for the Line of Business, responding to enquiries professionally and taking messages as required Support logistics for team and client events Work as a collaborative and supportive member of the Hong Kong Office Administration team, sharing workloads and providing assistance to other team members across Lines of Business so that, through the collective efforts of its team members, the Administration team is able to provide a consistently high level of service to all Hong Kong Office associates and their visitors Work as a collaborative and supportive member of Work & Rewards Line of Business, taking on appropriate tasks willingly and proactively identifying new ways to provide support and help accomplish organisational objectives Organise induction meetings for new starters as appropriate and support other new starters activities, as necessary (i.e., prepare workstation, order business cards and stationery) Assist consultants with their timesheets and expense entries Generate client invoices monthly or as and when required by the project manager Follow up on account receivables with clients Prepare, format, edit and proofread letters, proposals, presentations, spreadsheets and marketing materials using Microsoft Word, Excel, and Power Point in line with WTW branding standards Identify data entry parameters, complete data entry and data verification tasks, conduct basic calculations and generate reports as requiredThe Requirements
3 - 5 years working experience in multi-national companies as secretary, assistant or other positions of a kindAbility to interact with clients and associates in a pleasant, professional manner by phone and within the officeAbility to take a proactive approach to consistently delivering high-quality, accurate workExcellent organizational skills, good judgment, and a strong sense of urgency while carrying projects through to completionAbility to prioritize while working on multiple projects simultaneously and gathering further clarification as necessaryExpert computer skills using Power Point, Microsoft Word, and ExcelExcellent written and verbal communication skills in both English and Chinese (Cantonese and Mandarin) Easy going personality, and attention to detailsWhat can we offer you?
