Team Coordinator

As a Team Coordinator / Business Support Lead in Rating, you will have oversight of and feed into our Operational Processes. You will have the opportunity to work with the wider Operations Team and Sub-Business Line leaders.

You will become a subject matter expert for our Contract to Billing Process, and be the point of contact for our off-shore resource team and fee earning community. You will champion our JLL products and capabilities, and enhance adoption of these.

 

Role & Responsibilities

Manage the AP process for Rating, including resolving queries with suppliers, creating POs, speedcharts as needed

Act as the liaison between fee earners and the billing (JBS) and AML team, ensuring Salesforce is maintained and opportunities are logged, attending team meeting for relevant updates and ensuring there is consistency between the data entry, including Work in hand status and due date

Acting as SME for any revenue recognition escalations and working with our Revenue recognition and Legal team to ensure a smooth process

Acting as SME for any intercompany transactions or invoice queries

Owning reports to ensure our data and compliance is being adhered to, these include but are not limited to: Bad debts reports, Accrual reports, Overdue fees, Revenue reports and Salesforce dashboards

Resolve pending issues with the other key stakeholders across the business e.g. Legal & Compliance, UK Data Support, Procurement

Fully conversant with all JLL systems, Governance, tools and provide support and training across the team in line with best practice

Challenge the fee earning community on data standards and promote data quality excellence

Assist with training and process improvement of the DC team, identifying gaps in knowledge to provide targeted support upon need

Work with UK Data Controller Manager to agree monthly KPIs

Support the DC Manager with troubleshooting and triage of technical issues in core systems

Keep lines of communication fluid between fee earners and our JBS colleagues

Support on the Integrated Management System, used for ISO 9001 and ISO 45001

Support the use of JLL tools such as JLL GPT, NXT, Kato, OLM

Assist the team to ensure paperwork is up to date for audit purposes

Ensure drives are secure and available to the relevant team members

Assist wider team with ad hoc admin requests ensuring that the work is either picked up locally or directed to the relevant team (internally or to JBS)

Assist wider team with ad-hoc travel bookings and senior client meetings

Required Qualifications & Experience

Intermediate skills in SharePoint, Outlook, Excel, Word and PowerPoint

Excellent communication skills both verbal and written

Prior knowledge of Salesforce and PeopleSoft Financials desirable

Proven experience implementing best practice

Good understanding of financial management and reporting

Ability to influence and confidence to challenge to achieve the required aims

A demonstrated commitment to high professional ethical standards

Excel at operating at a fast pace, commitment to get the job done with good attention to detail

Ability to work independently and within a team to build relationships and interact effectively with business partners
