Job: Team Lead Patient Access Associate - Emergency Department Hours: 8am-5:30pm Monday-Friday but will need to be flexible to cover additional shifts as needed at various timeframes Location: Plainsboro, NJ Department: Emergency Department Summary: + Under the direction of and in collaboration with the Manager of Patient Access Services (PAS) Emergency Department (ED) and Inpatient Admissions (IP), facilitates and monitors the registration and flow of patients throughout the registration process + Provides assistance to staff to ensure compliance with hospital and departmental policy and procedure Assist ED and IP Admissions Supervisors with training and re-education of staff, quality assurance processes and other duties assigned + Acts as the initial departmental contact for staff and clinical staff fielding issues to the proper supervisor and escalating Manager as needed + Assists in orienting new employees + Provides workflow process support for PAS team members + Demonstrates flexibility by assuming various and diversified tasks as needed + Monitors work queues to ensure that signatures are obtained for the necessary regulatory forms and escalates to the management team when discrepancies are identified + Assists in tracking Notice of Admission (NOA) by monitoring email request sent by the Care Coordination team and escalates to the management team as needed + Reports regulatory form deficiencies needed to complete registration Responsibilities: + Assumes responsibility for the day to day operations of the registration processes within the department in the supervisor/managers absence + Identifies staffing concerns and addresses issues and trends with the supervisor/manager when applicable + Assist in staff training and education daily + Acts as a liaison between staff and Supervisor/Manager and other hospital departments to ensure all processes result in a seamless positive experience for patients + Ensures departmental staff are following proper registration protocols which include regulatory compliance + Assist the department in achieving and maintaining the Hospital’s Candidate for Billing (CFB) daily goal + Leads by example; exemplifies excellent customer service at all time + Performs all duties of a Patient Access Associate + Greets patient with a positive and professional attitude following all standard Penn Chart Registration Guidelines + Performs follow up on assigned third party accounts for all ED and Inpatient admissions. Follow up includes but is not limited to verifying eligibility, obtaining benefits, ensuring authorization/referral requirements have been completed i.e. Drug screening, Global International patients and Medicaid screening to attain appropriate referrals for hospital contacted facilities + Maintains good working knowledge of the language translating system “Marti” – using designated IPAD or wireless phones for language translation + Demonstrates flexibility and adaptability to changing work environment. Demonstrates willingness to meet the needs departmental operations effectively as an individual and team members + Support Customer Service and Performance Improvement goals of the Department. Determines and appropriately documents out of pocket responsibility for services as related to insurance contracts or Penn Medicine Princeton Health Fee Schedules (i.e. Self-Pay Fee Schedule). Collects Time of Service (TOS) and Point of Service (POS) Payments according to policy. If necessary refers patient to Financial Counselor and/or Medicaid Screener for assistance + Participates in educational sessions, seminars, annual mandatories staff meetings and Hospital sessions, utilizing the information provided to enhance patient care activities and work behaviors + All Patient Access Associates assigned bedside registration are required to utilize Workstation On Wheels (WOW) + Commitment to shift, arrive on time, ready to work at the start of your shift. If calls out, facilitate appropriate back up coverage for the ED. Education or Equivalent Experience: + High school Graduate/GED/Equivalent Work Experience (at least 2 years) required Related Work Experience: + 5-7 years of medical registration experience, with previous hospital or physician office registration experience required We believe that the best care for our patients starts with the best care for our employees.
