Job Description:
Title: Team Support – Field Operations
Hybrid 3-4 days in office | Location: Based out of Longwood, FL |
About the Role: Working under direct supervision of branch/team leadership and following established industry and company guidelines, assists all branch/team personnel with administrative support; recurring, narrowly defined customer service tasks; and meeting all performance requirements regarding production, quality, and ensuring that no liability with errors or omissions occur. May also be responsible for phone system management, scheduling conference rooms, and performing clerical duties.
Key Responsibilities:
Performance Requirements: Meet all performance requirements regarding production, quality, and service.Client Service: Deliver outstanding client service at all times, including proactively anticipating client needs, maintaining frequent and professional client communication, and responding quickly to any service requests.Team Contribution: Provide positive contribution to risk services team, demonstrating a strong work ethic, positive attitude, and willingness to assist others at all times.Back-Up Support: Act as back-up for teammates as needed, covering for others in their absence and ensuring overall team service excellence.Process Improvements: Constantly look for, recommend, and implement process improvements and best practices to improve individual, team, and organizational effectiveness.Subject Matter Resource: Serve as risk services subject matter resource for team, answering questions, providing support, and developing solutions to client problems.Performance Monitoring: Monitor individual performance to ensure productivity, efficiency, quality, and service standards are met, taking corrective actions when required.Communication: Maintain frequent, transparent communication with the account team regarding workload status and any issues.Collaboration: Work effectively with Producers and account team personnel, seeking input and developing win-win solutions to any claims-related process, service, quality, or productivity issues, including identifying and understanding insurance-related forms of communication.Policy Compliance: Stay updated on company policies and procedures.Technical Competence: Establish a basic understanding of technical competence and industry/market terms and programs.Office Duties: Process and distribute incoming and outgoing mail and packages, monitor general branch email account, scan documents, download policy documents from carrier websites, and monitor and order office supplies.Task Processing: Assist with ordering loss runs, MVRs, issuing Auto ID cards, certificates of insurance, and batch invoice generation and distribution.Data Management: Maintain accurate and up-to-date data in agency management systems and other supported systems.Activity Monitoring: Ensure timely completion of tasks and activities.Service Excellence: Provide proactive and responsive service.
Ideal Candidate Qualifications:
1-3 Years’ Insurance Related Experience Preferred4-40 license or ability to obtain within 90 days of hireExceptional administrative, communication, multitasking, and organizational skillsAbility to perform large work volumes with high degrees of accuracyPC Proficiency and in MS Office (Outlook, Word, Excel)High School Diploma (or equivalent)
