Key Responsibilities:

The role of this post is to enhance administrative assistance and technical support for the Resource Development Team, with particular focus on assisting the RD Director.  Specifically, the role involves providing assistance in overseeing and managing the Team’s implementation of the RD strategy, ensuring alignment with both Team and organizational goals.

Deliver comprehensive administrative support to the RD Director and managers, prioritizing tasks such as efficient scheduling and coordination of meetings, proficiently drafting professional correspondences, promptly responding to queries and emails including those received at wvphilippines@wvi.org, and accurately documenting proceedings during Team meetings, strategic planning sessions, and other related events as required.

Other comprehensive administrative and technical support to the RD Team may include but not limited to the following:

Ensure the review and approval of campaign plans, MC requests, contracts, and evaluation reportsProvide assistance in preparing presentations for the RD Director to be delivered during Senior Leadership Team (SLT) and Board meetings as requiredUpdate and renew DSWD permit to do fundraisingProactively identify and analyze significant issues, critical matters, challenges, and opportunities pertaining to the daily operations and functions of the Resource Development Team.Offer relevant information, documentation, and well-considered recommendations to facilitate informed decision-making by the RD Director and managers.Organize and facilitate review of PNS products, midyear and annual review and plansProvide technical support to other RD teams for their donor engagement, grant proposals and other operational needsOrganize and oversee RD staff gatherings and team building activitiesFile purchase requests and ensure payment and delivery of items/services for the Team

Ensure efficient and effective consolidation and timely posting of monthly progress report for the Resource Development Team.

Implement a comprehensive file-keeping and monitoring system that accommodates both electronic-assisted and manual methods. The system should prioritize maintaining record confidentiality while ensuring convenient access for authorized users.

Qualifications:

Bachelor’s Degree in any course related to office administration, business, and marketingAt least 1 year experience in providing support to organizational planning and management processProven skills in communication and computer Good critical thinking skillsSubstantial knowledge and skill in business writingKnowledge in marketing strategyKnowledge in people managementGood familiarity and grasp of government-mandated policies relevant to non-government and humanitarian organizationsCreative skillsGood organizing skills
