Job Title: Terminal Assistant
Job Description

We are seeking a dedicated and organized Office Admin and Terminal Assistant to join our team in Jeffersonville, IN. This dual-role position involves managing office operations and providing support at our terminal. The ideal candidate will be a proactive problem-solver with excellent communication skills and the ability to multitask in a fast-paced environment.

ResponsibilitiesManage daily office operations, including answering phones, handling correspondence, and maintaining office supplies.Assist with scheduling and coordinating meetings, appointments, and travel arrangements.Maintain and update company records, databases, and filing systems.Provide administrative support to the terminal, including processing shipments, tracking inventory, and coordinating with drivers.Handle customer inquiries and provide exceptional customer service.Prepare reports, presentations, and other documents as needed.Ensure compliance with company policies and procedures.Monitor, respond to, and process email correspondence and calls from customers and vendors.Assist with inventory consisting of rail cars in two rail yards.Work closely with the terminal manager to ensure paperwork is processed for all loads being transported and delivered.Record and maintain records such as bills of lading, scale tickets, and receipts.Maintain working knowledge of federal, state, and local rules and regulations, including Federal Motor Carrier Safety Regulations (FMCSR) and Department of Transportation (DOT) guidelines and company policies.Essential SkillsHigh school diploma or equivalent experience as an office administrator, office assistant, or relevant role.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).Excellent organizational and multitasking abilities.Strong written and verbal communication skills.Ability to work independently and as part of a team.Attention to detail and problem-solving skills.Additional Skills & QualificationsExperience with filing, administrative support, data entry, and office management.Knowledge of Department of Transportation local rules and regulations.Work Environment

This position will be onsite at our Jeffersonville, IN location. The office area will have three desks, and this role will be seated there. The work environment is fast-paced and requires effective communication and collaboration with drivers, terminal managers, and company management.

Pay and Benefits

The pay range for this position is $20.00 - $25.00
