Job Details:

Purpose

Assist with the coordination and administration of the Texas Parents’ Association and Office, with a focus on communications and event planning.

Responsibilities

Develop, utilize and maintain communication tools and platforms including but not limited to web sites, videos, newsletters, webinars, social media, campus electronic messaging, print materials, photography, registration systems, membership packaging and email campaigns. Maintain the department style guide as well as the internal and external timeline document. Optimize customer relationship marketing and event registration systems. Perform post-campaign and/or event communication analysis to identify trends, best practices and feasibility for future projects. Create reports as needed regarding platform usage, engagement, etc. Collect, organize, edit and write content for the monthly Texas Parents Member e-newsletter, invitations, brochures and other promotional pieces, including material for Brick Paver Program. Oversee implementation of any campus electronic messaging. Perform design work and/or work with graphics designer for needed communication pieces. Coordinate with campus partners, plan and manage all aspects of Family Weekend, including promotion, registration, internal and external communications. Conduct post-con with campus partners, identifying best practices, improvements and enhancements for following year.  (Enter Responsibilities here without percentages)Coordinate and oversee administrative processes assigned to student staff regarding applications, confirmations and selection committee materials for awards and grant programs. Promote programs to appropriate audiences to increase nominations and participation. Coordinate logistics for committee meetings. Oversee student staff’s collection of awarded organization’s follow-up materials. Serve on the Division’s Communicators’ Committee, developing relationships with fellow communicators that lead to collaboration opportunities. Manage committee meeting follow up and requests including submitting content for the monthly Division of Student Affairs newsletter and performing Division's annual website audit, usability testing and content approval processes review. Serve as a contributing staff member in a team centric and collaborative environment, functioning capably in a dynamic, fast-paced and growing office. Substitute for the Director and/or other staff as necessary. Keep abreast of current events as they pertain to students and their families. Perform other duties as assigned.

Required QualificationsBachelor's degree with five years professional experience in both event planning and communications.Advanced experience working on multiple projects or tasks, both independently and collaboratively, with the ability to handle those tasks efficiently and professionally in a fast-paced environment.At least two years of experience leading all planning phases of a large-scale event.Excellent organizational skills with the ability to self-start, learn quickly, prioritize tasks, problem solve, meet deadlines and follow through on tasks.Excellent written and verbal communication skills with exceptional attention to detail and editing ability.Demonstrated ability to build relationships, work collaboratively with others contribute constructively to a team environment.Demonstrated experience of graphic design in Adobe Creative Suite, Canva or other graphic design and editing software.Demonstrated ability to create, build and manage a range of website content that caters to the needs of the parent/family audience.

Relevant education and experience may be substituted as appropriate.

Preferred QualificationsProficient in current virtual event platforms and web-based event management software such as Zoom Meetings and Zoom Webinar as well as proficiency with Constant Contact or similar mass email marketing tools.Extensive experience of graphic design in Adobe Creative Suite.Direct experience producing monthly eNewsletter communications.Direct experience with Drupal and UT Box.Prior UT work experience, knowledge of UT Austin’s policies and procedures as well as UT Austin history and traditions. Knowledge of student programs, organizations, and activities at UT Austin. Experience using FileMaker Pro, UT Austin’s VIP and DEFINE systems.

Salary Range

$50,000 + depending on qualifications

Working ConditionsAdhere to departmental performance standards. Regular and punctual attendance in the workplace required and work additional hours when required. Position is a Campus Security Authority pursuant to the Clery Act and University policy, and a Responsible Employee pursuant to Title IX and University policy.Repetitive use of a keyboard at a workstation, use of manual dexterity, climbing of stairs, lifting and moving, exposure to alarms, fumes, large crowds, microwave emissions, noise and windowless work area.
