Time Keeping Specialist

Position Summary 

The Time Keeping Specialist (TKS) is responsible for the daily administration of timekeeping policies and procedures, review and inputting of changes into the Human Resource Information System (HRIS), bi-weekly processing of properly recorded time for submission to Corporate payroll, and managing monthly, quarterly, and semi-annual operational bonuses as well as the Annual Incentive Plan for applicable G&A employees.  

Duties and Responsibilities 

Administration and oversight of timekeeping system and payroll submissions 

Review employee electronic timecards for accuracy of punches, agent daily approvals, exceptions and supervisor pay period approvals. 

Performs sign-off for pay period after supervisor approval of all timecards through time keeping system, prepare and process data extraction from timekeeping system to provide to payroll. 

Responsible for compliance of site pay practices and that are being followed at site in accordance with Percepta policies 

Ensures that data imports are loading into the timekeeping system, e.g. punch loads, workforce management system loads, accrual balances, HRIS system loads.  Submits work orders as necessary, and contacts appropriate support resources for problem resolutions 

Review time off accruals for accuracy and submit discrepancy adjustments as necessary 

Research and process all adjustments to employee time data 

Enter timekeeping data related to terminations and special payments (vacation payouts) 

Perform bi-weekly check register audits to ensure accurate employee payments 

Provide service and support to employees for pay related inquiries. 

Act as a liaison between Technology and Corporate Payroll in support of timekeeping system 

Research and identify any systems issues between several data points which feed data to timekeeping system 

Serve as interface with Finance to provide client billing information from timekeeping system 

Serve as interface with WFM for trouble shooting and problem solving on any system schedule discrepancies as well as schedule changes and exceptions 

Assist in training of new timekeeping users as necessary 

Serve as back up for the TKS position in the other locations as necessary to ensure payroll is processed as required in the event of absence 

Work on special projects as requested by Site HR and Corporate HR 

Human Resources Business Partner Support 

Perform HRIS new hire entry and set up.  Providing new employees with system credentials and aiding new employees with direct deposit, tax withholding, and benefit election questions. 

Reviewing for accuracy and inputting all employee changes in the HRIS system. 

Projects and Miscellaneous 

Work on activities and/or projects as requested by Manager. 

Support requests for data extrapolation and other projects as requested.  

Education 

AA or BA/BS degree in Mathematics, Accountancy, Computer Science, or similar field or equivalent work-related experience preferred. 

Experience 

2 or more years of position related experience required. 

Experience in Payroll and Benefits Administration is an advantage.

Understanding of legal requirements for pay practices in multiple states. 

Computer experience, including, MS Excel and MS Word.

Available to work outside normal work schedule when necessary to ensure accurate payroll processing in the event of systems issues and/or delayed input
