Purpose: 

 

The Workplace Operations Coordinator will support the Workplace Lead and the larger management team for all operations of Scotiabank North. The incumbent is responsible for supporting the delivery and continuous improvement of the workplace experience including back-up support to the Workplace Lead team. 

 

The job requires skills in service delivery, continuous improvement, community management and communication building to ensure employees and visitors are engaged and productive. Responsible for all activities conducted following governance regulations, internal policies, and procedures, and that all learnings are cycled back for future implementations. supporting the overall success of the Operations Model by working collaboratively. 

 

Is this role right for you? In this role, you will:

 

Act as contingent staffing for floors supported in the absence of a Workplace Lead (onsite and/or virtual)

Provide on-site support for employees and internal/external guests as required

Supporting all aspects virtually through the mastery of multiple platforms: MS Teams, Workplace and Scotiabank Live, Visitor Management System

Managing and reporting on floor capacity through the use of centralized tools – OfficeSpace

Providing  coverage reporting to Lead and/or Manager as required

 

Employee Experience:

Acting as a central point of contact for employees at Scotiabank North as well as internal and external guests

Understanding, prioritizing and articulating challenges and successes of operations and assist with solution development where necessary.

Representing the operations and support to employees: Respond to emails sent to the shared inbox and/or moderate SharePoint site discussions.

Assisting with employee security access, locker and key database:

Promptly escalating any security issues or concerns to management

Equipment management, knowledge of all standard office equipment and meeting room technology as first on site for trouble shooting, place & support service calls as needed. Liaise with office equipment and vendors for maintenance as needed

 

Visitor Experience:

Acting as first point of contact for guests/visitors to the building/floor

Championing a customer focused culture

Being an expert about space, technology, and business lines to answer clients’ questions, needs and provide a welcoming environment

Managing and reviewing the Visitor Management System to ensure preparations are in place for all appointments and bookings for the floor. Directing clients to appropriate locations or contacts employees to inform them when clients arrive and/or need assistance 

 

Event & Meeting Management:

Organizing bookings and support for resident meetings, e.g., Town Halls and Social Committee events as required.

Meeting Management: Ensure conference/meetings rooms in assigned space are maintained according to operational standards. Provide orientation to meeting room technology.

 

Day-to-Day Operations:

Ensuring stationery/supplies are monitored and replenished

Mail distribution, accepting and/or signing for deliveries and arranging for courier service pickup; advising residents of delivery at reception desk

Participating in the OHS committee to ensure the assigned floor has adequate Fire Wardens, First Aid Attendants and Health and Safety representatives.

Understanding how the Bank’s risk appetite and risk culture should be considered in day-to-day activities and decisions.

Actively pursuing  effective and efficient operations of his/her respective areas, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational risk, regulatory compliance risk, AML/ATF risk and conduct risk, including but not limited to responsibilities under the Operational Risk Management Framework, Regulatory Compliance Risk Management Framework, AML/ATF Global Handbook and the Scotiabank Code of Conduct.

 

Do you have the skills that enable you to succeed in this role? We'd love to work with you if you have:

 

1-3 years' of relevant working experience 

Working knowledge of Bank organization and structure 

Thorough knowledge of MS Office Suite Applications 

High level of independence and strong organization skills with excellent written and oral communication

Strong knowledge or experience in Global Operations is preferred.

 

Work Arrangement

 

The core hours of operation are Monday-Friday, scheduled between 7:00 am -6:00 pm. However, this position may be scheduled for flexible/extended work hours as per business needs. This is a fully onsite position in our downtown Toronto office.
