We’re Looking For:

We are seeking a Titles Clerk with experience in customer service and general office administration. You will work as part of our close-knit administrative team, and will be responsible for supporting our front office operations. 

You Are: 

Organized. You will coordinate the vehicle title process for dealer and commercial units, including out-of-province requests.

Detail Oriented. You pay attention to the details, ensuring that there are no errors or delays releasing titles to our buyers.

Responsive. You will collaborate with our other team members, including sales, commercial accounts, and accounting; responding quickly and with accurate information on vehicle title status.

You Will:

Coordinate administrative tasks for vehicle title management, serving as the primary liaison with the provincial department of motor vehicle registry and/or insurance agencies to access titles and title information. 

Complete title and/or registration applications, input new title requests into the title inventory system, and monitor status with the provincial department of motor vehicles and/or insurance agencies.

Monitor internal systems for upstream units sold, coordinating title requests across the OPENLANE marketplace and responding to title inquiries from other OPENLANE locations.

Prepare and distribute title invoices involving a fee or charge.

Provide excellent customer service by assisting dealers with various procedures and requests in an efficient and timely manner, including greeting customers, responding to incoming calls, taking payments, and general inquiries

Ensure customer satisfaction by communicating with customers; identifying & resolving issues in a timely manner 

Perform moderately complex clerical and numerical processing activities of a clerical nature including selecting, compiling, verifying and processing data

Generate/prepare reports by gathering data from computerized systems (i.e. vehicles without titles reports) 

Manually or electronically enter new data in an accurate and timely manner, including vehicle information, registrations and other documents 

May be required to process cheques, file sales transactions, balance & transmit sale reports & EFT wire transfers to other systems 

Support other administrative tasks, including sale day functions, as required

Must Haves:

High School diploma or equivalent experience / education

1-2 Years’ of related experience in an administrative capacity

Tech-savvy, and comfortable using Google Suite 

Strong customer service and communication skills

Excellent organizational and time management skills

Nice to Haves:

Prior experience working with vehicle registrations an asset 

Experience with AMS, VTrace, and other OPENLANE systems

Bilingual (English/French) is an asset
