Trade Compliance Export Specialist

The Trade Compliance/Export Specialist is responsible for ensuring that the company’s trade practices are in compliance with local and international regulations in regards to the movement of products to our customers.  They are responsible for the accuracy and integrity of all products we ship.  This position will assist in the coordination of the movement of goods and products from one destination to another. This could be from one country to another or within the domestic United States. This job involves ensuring the correct paperwork is in place for shipments and their exporters.  They will also monitor freight through the entire process and work to resolve any issues.

Key Responsibilities

\n\nMaintain and keep documents traceablity on import/export process to ensure Veeder-Root is complaint for the Duty Drawback Program.\n\nObtain inland BOL, record ITN number, and file accordingly by country\nLabel the export for inland pick by Freight Forwarder appointed truck\n\n\nAnnual updating of Free Trade Agreement information\n\nQualify newly exported parts for the FTA when identified\n\n\nUpdate parts with HTS codes/CCL restrictions\n\nUpdate parts both through Windchill and newly exported manufactured/purchased goods.\n\n\nPull ITRAC data for previous months imports through ACE \n\nReview data and update inform for DHL KPI – clearing good timely.\n\n\nDownload/Review export data from ACE\n\nIdentify compliance risks\n\n\nPrepare and process exporting documentations such as customs declarations, commercial invoices, and other country specific customs related clearance requirements.\n\nComplete export documentation for Air/LCL and Ocean shipments\nComplete BOL/VGM statement for all ocean container shipments\nProcess manual requests for documents needed for compliance such as small package\n\n\nEnsure compliance with international trade regulations such as export controls, trade restrictions, and sanctions.\n\nClear all compliance holds\nReview/update end user certificates for customer orders\n\n\nMaintain accurate records of all export transactions and related documentation.\nMaintain Hockman Lewis releases\nFiling of blue shippers – making of BOL and send to Finance\nTracking of invoiced exports not picked up – reporting to Finance at end of month\nMaintain up to date standard work instructions.\nAssist with special projects, such as process improvement initiatives.\n\n

Additional Responsibilities

\n\nCollaborates and communicates with all US carriers and freight forwarders (preferred and non-preferred), customer service representatives, service providers, and others involved in the shipment of products to ensure accurate and timely delivery of goods.\n\nEnsure carriers are aware of plant schedule changes\n\n\nSchedules large shipments and plans logicistics to ensure timely pick up of goods.\nTracks, traces, and updates the status of outgoing shipments.\n\nMaintaining the container loading spreadsheet and schedule.\nWeekly container status call participation\n\n\nActively identify any issues that may impact shipment status.\nWorks to resolve any issues that may arise with the deliver of goods – cross shipments, missing shipments, document issues, etc\nPrepare and process shipment documentations such as Bills of Lading.      \nPrepare and process exporting documentations such as customs declarations, commercial invoices, and other country specific customs related clearance requirements.\n\nProcess manual requests for documents needed for compliance such as small package\n\n\nVerify accuracy of shipment information, such as weight, volume, product description, and pricing.\nEnsure accurate and timely billing of all shipments.\nKeep accurate files of good shipped.\n

Background and Skills

\n\nAssociates Degree preferred, not required.\nExperience working in a logistics or export related role is preferred.\nKnowledge of logistics and transportation industry practices and terminology is preferred.\nUnderstanding of international trade regulations and customs procedures.\nExcellent attention to detail and organizational skills.\nStrong communication skills, both written and verbal.\nAbility to work well under pressure and multi-task in a fast paced environment.\nProficiency in computer software applications, such as Microsoft Office.\nAbility to work work independently as well as part of a team. \nFlexibility to work different hours as needed to fit the business needs.\n\n
