Primary Responsibilities

The Administrative Processor role is responsible for various clerical tasks such as maintaining a professional office environment, maintaining supplies, processing paperwork, receivables, payables, and other administrative processes as assigned. Essential Functions

DUTIES, TASKS AND RESPONSIBILITIES:

Follows procedures for various clerical tasks in the office such as maintaining office environment, maintaining supplies, and mail processing.Processes carrier paperwork including freight bills, bills of lading, and accessorial receipts to be uploaded into the transportation management system. Identifies missing documentation and follows procedure to ensure its collection.Validates load and order information following procedure, ensuring accuracy of costs, reference numbers, and counts. Upload supporting documentation into transportation management system.Processes vendor payments and employee expense reimbursement requests promptly and accurately, adhering to accounts payable procedures, invoice approval policies, and payment methods and terms. Processes all incoming payments according to accounts receivable procedures, ensuring match of customer payment records to receivable records in accounting software.Maintains carrier, vendor, and other payee records in transportation management system and accounting software.Processes travel bookings according to policy and procedure.Interacts professionally with customers, carriers, vendors and others over the phone and by email as required to resolve missing paperwork, past due balances, account discrepancies, and other administrative issues. SKILLS, KNOWLEDGE AND ABILITIES:

Superior attention to detail and accuracy in data entry and record-keeping.Ability to manage the schedule and timely completion of multiple concurrent priorities. Ability to handle a high volume of repetitive tasks while maintaining accuracy.Ability to recognize processing inconsistencies, data discrepancies, or other issues, and work with others to resolve effectively.Competency in Microsoft Office and QuickBooks accounting software. Ability to communicate effectively with internal and external stakeholders.

 

EDUCATION AND EXPERIENCE:

High school diploma or GED required.Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred.2+ years of experience in office administration, processing freight bills, bills of lading, payment processing, or accounts payable required.Working knowledge of Microsoft Office, particularly Excel, and QuickBooks.Familiarity with ACH payment systems and accounting software preferred.
