Job Description:
As a Tradeshow Event Manager, you will be responsible for overseeing and executing a wide range of events, from initial planning to post-event analysis. This role is responsible for driving the strategic planning and detailed execution of all tradeshow and event management activities for Paylocity. This role requires hands-on involvement in managing live event production, liaising with stakeholders, coordinating logistics, and ensuring the successful delivery of all event elements. You will work in a fast-paced, collaborative environment, ensuring events meet the company’s strategic goals and deliver exceptional experiences for both internal and external audiences.
Key Responsibilities:
Event Project Management
+ Developing and maintaining annual trade show plan and strategy in alignment with company standards and processes.
+ Oversee event planning components from pre-planning to execution, booth design, onsite execution, and follow-up. This includes post event analysis and measurement of ROI.
+ Verify and complete required lead data entry to ensure accurate records in SFDC
+ Overall responsible and accountable for relationship and meeting expectations with key stakeholders and product delivery (operations)
+ Coordinate and execute multiple aspects of live event production, including AV requirements, transportation, F&B (Food & Beverage), staffing, security protocols, and other logistics.
+ Ensure all events meet established deadlines and quality standards, including budget management, vendor sourcing, contract negotiations, and talent/executive coordination.
+ Owner of overall service delivery strategy
+ Develop and conduct site inspections as required and follow up with site inspection notes, revised estimated budget, program itinerary and program timeline.
+ Facilitate the creative direction and fulfillment of program related participant and host communications materials, including, but not limited to save the dates, registration announcements, room gifts, pre-trip and onsite materials, including program signage and participant name badges.
Vendor and Venue Management:
+ Source destination, hotel and venue options that meet the goals and objectives of the event.
+ Negotiate and manage contracts with venues and external agencies. Ensure all vendors deliver on time and within budget while maintaining high standards of service.
+ Negotiate and purchase ground transportation, entertainment, and décor elements via preferred Destination Management Companies and/or direct vendors.
+ Manage relationships with external suppliers, including AV, catering, transportation, and staffing agencies.
Stakeholder Collaboration:
+ Work closely with internal teams, including sales, marketing, and executive leadership, to align event objectives with broader business goals.
+ Collaborate with key stakeholders to understand needs, develop innovative event concepts, and deliver high-impact experiences.
Onsite Event Management:
+ Travel to events to supervise all onsite logistics, ensuring smooth execution. Oversee setup and breakdown, troubleshoot issues, and ensure overall satisfaction of clients, customers, and internal teams.
+ Coordinate with internal and external teams to ensure all logistical aspects run seamlessly.
Budget Management:
+ Develop, track, and reconcile event budgets. Ensure financial objectives are met through cost-effective resource planning and allocation.
+ Provide regular updates to leadership on financial performance and overall event ROI.
+ Reconcile all final billing on-site prior to final billing being sent to Finance and ensure final billing timeline is met
+ Ensure the timely payment of all supplier/vendor bills and oversee the invoice payment of deposits to ensure payments are received on time.
Event Metrics and Reporting:
+ Establish key performance indicators (KPIs) for each event, including attendance, engagement, and ROI.
+ Gather post-event data, analyze performance, and provide comprehensive reports and recommendations for future improvements.
+ Lead post-event follow-up, ensuring email communication and measurement plans are executed.
Communication:
+ Conduct regular planning update calls with leadership and event stakeholders, addressing any concerns proactively.
+ Present event outcomes and optimization opportunities to leadership, ensuring continuous improvement of event processes.
+ Provide tactical operational input that supports team development, retention and growth
Required Qualifications:
Education: Bachelor’s Degree in Communications, Marketing, Event Management, or a related field preferred.
Experience:
+ 5+ years of experience in tradeshow planning and execution
+ 2+ years of team management experience.
+ Proven experience in managing various types of events (conferences, trade shows, internal corporate events).
Skills:
+ Strong project management and time management skills, with the ability to manage multiple events simultaneously in a fast-paced environment.
+ Excellent verbal and written communication skills, comfortable presenting to stakeholders and executives.
+ Effective time management, with the ability to prioritize and meet tight deadlines.
+ Experience in budget management and financial reconciliation.
+ Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and Google Workspace.
+ Ability to communicate effectively both verbally and in writing
+ Capability of problem solving - Anticipating, initiating and resolving issues
Technical Proficiency:
+ Experience with event management software (e.g., Cvent, Eventbrite) and CRM systems (e.g., Salesforce).
+ Familiarity with current event technology, including virtual platforms, mobile apps, and attendee engagement tools is a plus.

Travel: Up to 20% travel is required for onsite event management.

This role can be performed from any office in the US. The pay range for this position is $110,000 - $130,000/yr; however, base pay offered may vary depending on job-related knowledge, skills, and experience. This position is eligible for an annual bonus and restricted stock unit grant based on individual performance in addition to a full range of benefits outlined here.
