Training Coordinator

The Institute for Medical Research (IMR), an affiliate of the Durham VA Health Care System (DVAHCS), is looking for a full-time Training Coordinator to work in conjunction with the staff, PIs, and management teams to develop staff onboarding and training activities. This role will also provide overall support in the development of job-specific trainings and ongoing employee skills development, fostering communication across the department, and development of standard operation procedures to increase staff productivity. The position will report directly to the Administrative Manager.
Location: This position is hybrid. Monday-Wednesday all staff will need to be present in-person for initial VA onboarding tasks such as fingerprinting, badge pickup, computer pickup, etc. If in-office: This position is located in Durham, North Carolina and candidates must be willing to relocate prior to start date. If remote: IMR employees must reside in the state of North Carolina.
Duties and Responsibilities:
Critical Element 1: Onboarding
+ Develop an onboarding plan and itinerary for new hires, coordinating with HR, management, and regulatory staff as-needed.
+ Communicate first day information to new hires.
+ Ensure all necessary onboarding documents are completed and stored in designated locations.
+ Coordinate access to technology systems for new hires.
+ Troubleshoot and resolve computer and access issues.
Critical Element 2: Training
+ Develop training objectives and implement training solutions needed for all employees.
+ Facilitate team and study-specific training sessions.
+ Maintain systems for tracking completion of training.
+ Assess training effectiveness utilizing Microsoft Forms or similar software.
+ Establish and maintain a consistent design for all training materials.
+ Work with key stakeholders and subject matter experts on the preparation of educational materials, slides, quizzes, videos, etc.
+ Monitor all training plans for compliance and, under the direction of the management team, document competency standards for all job roles.
+ Liaise with managers to plan and schedule training programs and develop/revise SOPs.
+ Maintain a current, organized library of all department training materials.
+ Develop proficiency in training software.
+ Provide support for administrative tasks as needed.
Critical Element 3: Training Process Design Support
+ Coordinate of continuing education training opportunities.
+ At the direction of management, assess inefficient training activities or gaps then translate into actionable solutions.
Qualifications:
Requires an organized, task oriented, deadline sensitive individual with a minimum of 3-5 years of relevant experience. Graduate education may be considered in lieu of work experience.
Candidates must be able to work diplomatically and professionally with administration, faculty, clinical and lab personnel, and subjects. Demonstrated leadership, professional initiative, teamwork abilities, strong interpersonal relationship skills, decision-making, and good judgement is expected. Excellent written and oral skills, Windows, Microsoft Word, Excel, Access, editing, Canva, Rise360 and Adobe Learn, and proper telephone etiquette skills are required for this position. Experience with facilitation is preferred. Incumbent should possess professional knowledge of clinical research sufficient to provide training and guidance to others in the clinic. Prior experience with clinical research, clinical trials, FDA regulations, VA regulations, and HIPAA considerations is required.
Physical Requirements: The physical requirements and activities that are required to perform the essential functions of the position include, but may not be limited to, as follows: Must be able to occasionally lift, pull and push a minimum of 20 pounds, stand for extended periods of time, sit for extended periods of time, squat, kneel, and stoop, regularly use fingers, hands for computer work.
Supervisory Controls: The position of Training Coordinator is under the direct supervisor of the Administrative Manager.

Salary Range or Rate of Pay: $52,000 - $62,920 or $26.44 per hour
Status: Exempt
Start Date: Expected start date will be 4- 6 weeks after the offer but is somewhat flexible and contingent upon completion and approval of VA paperwork.
