Job Title: Travel Coordinator

Job Summary:
We are seeking a Travel Coordinator for a disaster recovery program. This is a remote position, and candidates must be able to perform efficiently and effectively in a remote office environment. The successful candidate is responsible for coordinating hotel accommodations for disaster survivors who have been displaced from their homes. This role ensures smooth, efficient, and timely lodging accommodations, utilizing Microsoft Office programs and other software programs track bookings. The position requires a high degree of organization, adaptability, and the ability to work in accelerated timelines.
Key Responsibilities:
o Travel Logistics Management
o Plan and arrange lodging for disaster survivors, individuals in their household and their pets.
o Ensure lodging aligns with program requirements and protocols.
o Provide support after hours and on weekends for any urgent lodging changes or requirements.
o Coordination with Stakeholders
o Collaborate with disaster recovery teams, management, and vendors to identify lodging options.
o Liaise with lodging companies to secure the best options for availability and cost.
o Maintain clear communication with managers about schedules, updates, and contingencies.
o Compliance and Documentation
o Ensure all lodging arrangements follow standard operating procedures.
o Maintain accurate records of all lodging-related expenses and provide detailed reports to management.
o Cost Management
o Monitor lodging budgets and seek cost-effective solutions without compromising efficiency or safety.
o Support finance personnel with reconciling lodging expenses.
o Business Acumen
o Be ready to work on time for the duration of the assigned work hours and assigned weekly schedule.
o Achieve performance goals set by manager.
o Maintain connections with manager and colleagues by having a consistent presence on Microsoft Teams channel.
o Request time off in advance as needed.
o Update lodging tracking systems timely and accurately.
o Report time worked in timekeeping system accurately every day.
o High school diploma or equivalent; a bachelor’s in a related field is a plus.
o 3+ years of experience in travel coordination or a similar role.
o Experience in disaster recovery or emergency management is highly desirable.
o Strong organizational and time management skills.
o Ability to remain calm and efficient under pressure.
o Excellent communication and interpersonal skills.
o Ability to work efficiently in a remote environment
Standard Schedule:
o This is a temporary assignment.
o Operations will occur Monday through Sun from 8AM ET to 8PM ET. You will be assigned a 40-hour work schedule based on your availability during those times. One weekend shift per week is required.
Pay Rate: $22 per hour
