Job Title: Travel and Entertainment Reimbursement Manager

Job Overview:
We are seeking an experienced and detail-oriented Travel and Entertainment Reimbursement Manager to join our team in Warsaw, Poland. The ideal candidate will be responsible for overseeing and managing the travel and entertainment (T&E) expense reimbursement process for our global operations, ensuring compliance with company policies and local regulations. This role will involve close collaboration with finance, HR, Internal Audit, Corporate Security and operations teams to maintain a smooth, efficient, and transparent process.
Key Responsibilities:
Ensure the successful setup and go live of our new Financial Shared Service Center in Warsaw, Poland for the T&E Function.Manage the end-to-end T&E reimbursement process for employees across multiple countries, ensuring timely and accurate processing of claims.Lead a Team of Auditors and keep them motivated and engaged in this key internal control process.Review, verify, and approve employee expense reports, ensuring adherence to company policies, tax regulations, and applicable laws.Provide guidance and training to employees on T&E policies and procedures to ensure compliance and improve the reimbursement experience.Collaborate with internal teams, including finance and HR, to resolve reimbursement-related issues, discrepancies, or escalations.Analyze T&E expense trends, identifying opportunities for cost savings and improvements in the reimbursement process.Oversee T&E audits to ensure compliance with internal controls and local laws.Prepare and present regular reports on T&E expenses and reimbursement activity to management.Stay updated on relevant financial and regulatory changes in Poland and other countries in which the company operates.Be the SPOC for the audit of all T&E Claims from the Senior Leadership Management and their Executive Assistants.Requirements:
Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.Extensive previous related experience; decision support function role; corporate expert/specialist; Global process or major “rollout” managementProven experience (3-5 years) managing travel and expense reimbursement processes, preferably within a global organization.Strong knowledge of T&E policies, corporate travel programs, and expense management systems.Familiarity with financial and tax regulations related to T&E globallyExcellent attention to detail and analytical skills.Proficiency in using expense management software and financial reporting tools (Oracle Cloud is Preferred)Strong communication and interpersonal skills, with the ability to work cross-functionally in a global environment.Fluency in English & Polish is required.Offers of employment are conditional upon passage of screening criteria applicable to the job
