Travel & Expense Manager

Job Description:

The Manager, Travel and Expense Reporting Processes, will lead the finance oversight of TransMedics' travel and expense (T&E) reporting. This role requires a detail-oriented professional with deep expertise in Concur, and the ability to collaborate with cross-functional teams to ensure compliance, efficiency, and employee support. The ideal candidate will operate independently, solve complex problems, and drive process improvements while fostering a culture of accountability and financial discipline.

ESSENTIAL DUTIES AND RESPONSIBILITIES: 

Oversee the company’s travel and expense reporting process, ensuring compliance with corporate policies and regulatory requirements.

Serve as the primary point of contact for Concur system administration, including configuration, reporting, troubleshooting, and user support.

Develop and deliver training programs to employees on T&E policies, system usage, and best practices to ensure adherence and efficiency.

Review and analyze T&E data to identify trends, anomalies, and opportunities for cost optimization.

Work closely with the Head of Finance Operations to implement process improvements and enhance reporting capabilities.

Establish and monitor key performance indicators (KPIs) to measure the effectiveness of the T&E process and drive improvements.

Partner with internal stakeholders, including procurement and compliance, to ensure alignment with corporate objectives.

Respond to employee inquiries and resolve issues related to travel and expense reimbursements promptly and effectively.

Stay updated on industry trends and Concur enhancements to recommend system upgrades and process changes as needed.

Operational goals.

Provide insights and updates to executive leadership and the board on key tax, treasury, and insurance matters.

Drive compliance with Sunshine Act reporting requirements, including timely and accurate data collection, analysis, and submission.

BACKGROUND AND QUALIFICATIONS:

Bachelor’s degree in Finance, Accounting, Business Administration, or a related field (required).5+ years of experience in finance operations, travel and expense management, or related roles, with at least 2 years working directly with Concur or similar systems.Strong knowledge of corporate T&E policies, processes, and best practices.Demonstrated ability to analyze data, identify trends, and recommend actionable solutions.Proven ability to operate independently, manage multiple priorities, and meet deadlines in a fast-paced environment

PREFERRED QUALIFICATIONS:

Experience in a healthcare, life sciences, or high-growth industry.Advanced proficiency in Concur reporting and system customization.Experience delivering training programs and presenting to diverse audiences.Strong interpersonal and communication skills, with the ability to collaborate across departments and levels.Additional experience with Sunshine Act reporting requirements and process.
