About the Papua New Guinea Programs

Position Overview: 

The Travel Officer is responsible for arranging travel and associates support to Abt personnel in Papua New Guinea.

 

Key Responsibilities 

The Travel Officer will undertake the following responsibilities.

Arrange official travel and accommodation for Program members for all national arrivals/departures and international arrivals/departures where required. Assist staff requests for travel and accommodation, and logistical support for Program activities. Ensure required documentation and procedures for travel arrangements are in place and information for requesting and processing travel arrangements are fully accessible to Program staff and providers. Liaise with appropriate travel/accommodation/transport providers on travel bookings and provide information on Program policies/guidelines and processes. Review invoices, prepare payment requests and submit to Finance for payment. Update and manage the travel planner for Program staff on a weekly basis. Assist with the preparation of all travel documentation including per diems and cash advances. Assist with ensuring that logistics arrangements such as tickets/per diems/accommodation/vehicle etc. are issued on time and communicated to the traveller. Keep the Travel Manager and travellers regularly informed of travel risks, delays and emerging issues. Keep relevant registers including travel register up to date at all times Support the Travel Manager with induction briefings regarding travel and accommodation processes for new staff when required. Work with the Travel Manager to continuously improve travel systems and procedures. At all times, work in accordance with the processes specified in the Abt Procedures Manuals; and Other duties as may be required by the Finance Manager.

 

Specific Deliverables

Follow up and ensure travellers submit acquittals in a timely manner as per Abt policy and procedures. At all times, work in accordance with the processes specified in the Company Procedures Manuals. Provide a responsive and timely service to travellers, maintaining professionalism at all times.

 

Key working relationships 

All shared service teams (Finance, Payroll, HR, Security & Fleet, Procurement) Program Delivery Teams Internal and External Clients (Procurement companies/Travel Agencies/Hotel etc.)

 

About You

For applications to be considered, a response to the key selection criteria below must be provided;

Diploma or equivalent qualification in business management, administration, project management, social science and/ or another relevant discipline. Basic experience in coordinating and managing administrative, travel, and logistics tasks. Some relevant experience in a high-volume, fast-paced environment (internships or volunteer work acceptable). Good written and verbal communication skills in English and Tok Pisin. A strong commitment to delivering excellent client service, with a proactive approach to anticipating needs. Basic proficiency in Microsoft Office, especially MS Outlook, MS Word, and Excel.
