The Travel Specialist performs all data entry and office automation functions concerning DOE Office of Science’s Travel Program for foreign, domestic, local, and advisory committee travel of all Office of Science organizational entities in accordance with all Federal, DOE Travel Regulations and requirements, and Office of Science published Standard Operating Procedures.
Use DOE/SC’s computer-based automated travel system to process and monitor all aspects of SC’s travel in the DOE corporate applications.Develop and provide training to SC federal staff/contractors to be independent users of CGE and/or FTMS. Notify individuals that will travel as part their official duty that they are required to complete the training within 30 days after receiving notification and inform supervisors if the employees do not complete their training within the prescribed time.Enter all the applicable data provided into FTMS for foreign travel.Monitor the system daily to ensure all trips are approved in a timely manner, as travelers cannot execute travel if the trip is not approved. Process all electronic country clearances for travelers, as required, to ensure clearance approvals are obtained before the traveler departs.Review travel data (e.g., travel dates, cost, and receipts) on all Travel Authorizations and Travel Vouchers to ensure accuracy. Verify traveler profiles, including the Account Flex Fields (AFF) String accounting codes, are entered in accordance with the direction that is provided by the SC’s Business Operations Division.Review Travel Authorizations and Travel Vouchers to ensure all comply with Federal travel directives, orders, policies, procedures, and other SC published guidance.Ensure travel information including traveler profiles and AFF accounting codes are kept current to ensure accuracy of all Travel Authorizations and Travel Vouchers processed.Generate a variety of reports in FTMS, CGE, and other Travel Systems as required to support the SC Travel Program.Education
High School diploma or equivalent General Education Development (GED) certificate.Experience
Experience using DOE corporate applications is required:Concur Government Edition (CGE) Foreign Travel Management System (FTMS)License, Cert or Registration
Must have current/valid drivers’ license. Must have proof of U.S. citizenship. Ability to satisfy a background investigation to obtain and maintain a Secret Security Clearance.Special knowledge, skills, & abilities
Must be able to speak, read, write, and understand English proficiently.Must be proficient in the use of computers and software to perform work (e.g., Microsoft Office) and general office equipment. Practice high standards of personal hygiene and maintain a clean, net appearance while on duty.
