The Trust Tax Administrator will provide accurate and timely tax information to customers and assist in the collection of tax information necessary for proper reporting of tax information to customers and to federal and state authorities. Act as a liaison between Associated colleagues and tax preparer. Primary responsibility is to assist Trust Tax team members to file all federal and state income tax returns, pay tax balances due, collect tax refunds and process federal and state estimated tax payments in a timely manner.
This person will also:
Provide superior service to our internal and external customers. Internal customers include, but are not limited to Relationship Managers, Administrative staff, Client Services and Trust Operations. Courteously and professionally respond to requests for information on tax matters. Educate and train new hires on trust tax software. Use judgment and experience to provide information requested, resolve tax issue or refer request to another colleague in the Trust Tax department for resolution.
Review daily transaction reports of selected transactions to check accuracy. Review and update tax codes used to process transactions, as needed. Contact Trust Operations, Relationship Managers or Administrative staff if additional information is needed.
Act as a Liaison between tax preparer, Relationship Managers and Administrative staff facilitating the gathering of information necessary for the preparation of complete and accurate tax returns. Respond promptly to requests for tax information from Relationship Managers, Administrative staff and tax preparer.
Monitor and track, tax matters (such as missing beneficiary information, sales with missing or nominal cost basis, external K-1s or 1099s) that require attention before completion of an account’s tax return. Send updated list of tax matters requiring attention to Relationship Managers and Administrative staff. Personally contact Relationship Managers and Administrative staff to resolve pending tax questions.
Review written correspondence from federal and state tax authorities related to customer accounts. Research issues and respond by writing a letter to the Tax Authority. Refer complex federal or state tax notices to Tax Manager for resolution. Maintain record of all tax notices and review pending tax notices monthly.
Monitor and track the timely filing of tax returns to federal and state tax authorities using information downloaded from trust accounting and trust tax return preparation software. Assemble and mail returns to federal and state tax authorities including handling 1099s, schedule K-1s, etc. Confirm returns submitted for electronic filing have been successfully transmitted to federal and state taxing authorities. Prepare and submit request for Prompt Assessments to IRS for account closings. Prepare WI Form CC to request Wisconsin Closing Certificate for Fiduciary for account closings.
Keep informed of new developments, policies and laws concerning fiduciary and estate taxation by reviewing updates and e-mail alerts from vendors, IRS and Wisconsin Department of Revenue . Update and revise tax department policies and procedures for review by manager.
Coordinate payment of federal and state fiduciary taxes. Communicate amount of federal and state tax due and amounts of quarterly federal and state estimated tax payments to Relationship Managers and Administrative staff with deadline to contact Trust Tax department with any changes. Monitor requests for changes and communicate changes to tax preparer. Coordinate electronic funds transfers for tax due payments and fiduciary tax estimates.
Review and update list of foreign account beneficiaries. Calculate the amounts due each month for backup withholding for foreign beneficiaries reported on IRS Form 1042. Coordinate payment of backup withholding.
Prepare monthly report of sales and purchases of limited partnership units. Verify partnership tax information bridges from vendor to tax preparation software. Download customer partnership K-1s from vendor's website for use in preparing tax returns. Prepare carry value adjustments for partnership units held in each account by reviewing basis adjustment items reported on schedule K-1s.
Review and match 1099s, K-1s and related tax information received from outside sources to customer accounts. Scan and send 1099s, K-1s and supplemental tax information to tax preparer to be used for preparation of customer’s tax returns. Download customer partnership K-1s from Wall Street Concepts or partnership website. Send partnership K-1s to tax preparer.
Review download from trust tax preparation software of list of customer accounts that received a return of capital distribution. Review report and account holdings to determine if carry value adjustment is required. Submit file of carry value adjustments to Trust Accounting Software to process carry value adjustment for customer accounts. Verify that carry value adjustments are reported correctly in customers’ accounts.
Education
Bachelor's Degree or equivalent combination of education and experience in Accounting or Business Administration. Required
