Job Duties

Acts as receptionist on the unit, receiving all incoming phone calls, greeting and directing
visitors.
Assures prompt and courteous communication between all departments by scheduling tests promptly,
returning telephone calls quickly, and taking and forwarding messages accurately.
Answers routine questions from patients and visitors on hospital policy.
Assembles patient charts, checking that all required forms are present and replenishing forms as
needed. Makes clerical entries on patients' clinical records (e.g., enters TPR data onto graph in
patient's chart).
Transcribes lab work from doctor's order sheet onto laboratory test requisition forms. Notifies the
appropriate personnel (e.g., dietary staff, nurses on the unit) of new admissions.
Maintains accurate identification of all patients in the unit (e.g., prepares and attaches ID
bracelets, checks that labels for short-stay cubicles are accurate).
Enters admission, transfers (to include ambulatory to inpatient conversions), and discharges in log
book. Makes discharge and transfer arrangements for patients (e.g., appointments, special diets)
Prepares and maintains adequate supply of forms for patients' records.
Reports low par levels to supervisor; prepares requisitions for supplies and stores items in
designated area. Sorts and distributes mail on the unit.
Maintains established departmental policies and procedures, objectives, quality assurance program,
safety, environmental, and infection control standards.
Assesses gaps in policies and procedures, and create necessary policies and procedures to fulfill
these gaps.
Understands and adheres to the Medical Center’s Code of Conduct.
Familiar with the Medical Center’s Mission, Vision, and Values Statements.
Customer Service: respect, flexibility, knowledge, confidence, professionalism, pleasant attitude,
patience, and helpfulness.
All responses should be timely, professional, caring, and respectful in accordance with Customer
Service Performance expectations.
Maintains statistical data as directed. Assists other personnel as necessary. Participates in
orientation of
ward clerks. Performs other related duties as required.

Position Qualifications:
Experience
One year of clerical experience preferred.
American Heart Association Heart-saver certification required

Skills
Strong administrative skills Strong understanding of regulatory requirements for OPS Good
organizational skills.
Good oral and written communication skills. Good interpersonal skills.
Must be computer literate.
Speaks, reads and writes English to the extent required by the position.

Education
High school graduation or equivalent.

Job Setting/Physical Demands
Various settings and related areas; contact with patients, visitors, staff. Frequent prolonged
standing/walking.
