Summary
The Unit Secretary is responsible for serving as the receptionist for the assigned nursing unit, and for performing various secretarial functions to fulfill clerical/computer-based duties, support patient/staff safety, and enable the efficient functioning of the unit. 12 hour shifts
Essential Duties and Responsibilities
These duties and responsibilities described below represent the general tasks performed daily; other tasks may be assigned.
+ Demonstrate responsibility for individual performance and efficient utilization of products, supplies, equipment, and time to ensure the timely completion of duties and to promote financial viability through provision of services
+ Demonstrate excellence in customer service and engage in positive service recovering within scope of practice
+ Serve as the receptionist for assigned nursing unit by keeping work areas neat and clean; maintaining order forms, office supplies, and nourishments as needed
+ Organize and reprioritize work based on patient’s needs, available resources, and unit requirements
+ Ensure emergency readiness and initiate timely emergency measures as appropriate according to role responsibilities
+ Support patient care/safety by responding to patient call lights and monitor alarms promptly and directing traffic during emergencies
+ Manage multiple phone lines and communicate requests/needs related to incoming and outgoing calls, taking accurate messages, and relaying them in a timely fashion
+ Maintain electronic medical record system accurately, utilizing downtime forms and processes when required
+ Adhere to all age-appropriate protocols to ensure patient safety based on development needs
+ Contribute to the prevention of infectious diseases among employees, patients, and visitors by adhering to the infection control policies and procedures
+ Maintain a working knowledge of equipment used in daily operations of the unit
+ Carry out procedures necessary for transportation arrangement for patients going to other hospitals, COBRA forms for transfer, and copying charts to be sent with the patient
+ Assist with orientation of new personnel by providing constructive feedback and coaching
+ Report environmental safety hazards, including damaged and broken equipment, in a timely manner
+ Complete employee accident reports and contribute information for improvement and mitigation
+ Attend required orientations, meetings, and in-services
+ Demonstrate a commitment to flexible work scheduling when necessary to ensure patient care
+ Review unit/department communication to maintain a working knowledge of job responsibilities and operational changes/improvements
+ Display positive customer relations to include, but not limited to:
+ Treating all customers with dignity, respect, and a welcoming attitude
+ Displaying the appropriate verbal and non-verbal communication skills
+ Anticipating customer’s needs and respond appropriately before the situation requires action
+ Maintain confidentiality of patient information
+ Maintain effective communication systems with other hospital departments
Education and Experience
Minimum Required Education: High school diploma or equivalent
Preferred Education: Successful work experience in Unit Secretary or like role, working knowledge of medical terminology
