Unit Secretary II, Family Birthing Center (Maternity)

POSITION SUMMARY:

Performs a variety of clerical support and other duties to assist the nursing staff in carrying out daily patient care activities.  Prepares and maintains patient medical records.  Transcribes and expedites physician orders.  This position requires the ability to complete registrations obtaining accurate demographic and financial data in order to ensure proper reimbursement, as well as the appropriate compliant signatures for documentation.  Functions as a Receptionist.  Serves as a notary for the Voluntary Paternity Program. Reports to the Clinical Nurse Manager.

 

EDUCATION/CERTIFICATION:

Must have a High School Diploma or GED equivalent and knowledge of medical terminology. Must have Public Notary status upon hire or receive status within a month after hire and maintain competency during employment with ECHN in this role.

COMPETENCIES:

Must be able to read and communicate effectively using the English language and have basic personal computer skills.

          Job-Specific Competency Meets, greets and directs all patients, families, visitors and health care team members. Provides accurate and appropriate information.  Prepares medical records for new admissions and discharged patients.  Maintains accurate medical record during patient stay. Ensures downtime forms are available and collated when needed. Schedules patient procedures according to unit guidelines. Consults with charge nurse or nurse manager for unusual circumstances. Transcribes physician orders in a timely manner.  Enters orders in the computer system.  Prioritizes orders by identifying those with timed or immediate action.  Notifies appropriate nursing staff or department. Responds appropriately and in a timely manner to patient requests, including prompt acknowledgement to patient call bell. Accurately establishes patient account in a timely fashion, eliminating duplication of medical record numbers by linking the correct patient and Unit number. Completes demographic and financial information accurately in conjunction with Patient Access Department expectations while accurately determining the appropriate flow type in the Admissions registration system. Obtains signature on authorization form for all types of registrations including Observations and Inpatients and explains all components of the form to the person signing. Completes registration process by producing registration form and bracelet for registrant based on registration type. Completes registration by assigning the correct physician(s), admit source and admit priority, as well as HIPAA specific information as evaluated through the auditing process. Works effectively with staff from various areas on interdepartmental issues. Demonstrates an ability to be flexible, organized and function under stressful situations. Performs other duties as assigned, to promote efficient functioning of the unit. Answers telephone/intercom in a polite and timely manner and communicates accurate information to the appropriate personnel/family. Orders supplies, processes work orders, enters charges and performs other coordinating activities to maintain unit operations. Achieves and maintains notary status. Facilitates Voluntary Paternity Education (VPE) program by attending educational programs and updating staff on all changes.
