Preferred Qualifications
+ Experience using Raisers Edge, Give Campus, and Teams Planner.
+ Proven ability to solve problems related to staying within budget, meeting tight deadlines, and managing multiple, complex events simultaneously.
+ Ability to work independently while maintaining clear communication with leadership.
+ Bachelor’s degree or comparable job experience.
Job Description
The University Advancement Event Coordinator is responsible for the planning, execution, and management of university advancement events, not to include presidential events, aimed at cultivating meaningful relationships with Texas State University’s donors, alumni, students, and staff. The position requires strategic oversight of event processes including budgeting, invitation lists, data management, follow-up, and event reporting. This role will report directly to the Executive Director of Donor Engagement and will play a key role in ensuring the success of University Advancement’s events.
Job Duties
+ Strategize, plan, and execute University Advancement events.
+ Propose, segment, and manage invitation lists, research and contract venues and vendors, and track event budgets.
+ Draft and manage event communications, ensuring timely and accurate messaging for all volunteers and stakeholders.
+ Prepare and deliver post-event analysis to identify opportunities for improvement and recommend solutions.
+ Collaborate with staff to set event goals and objectives, developing strategies for successful execution.
+ Manage assigned events in a project management system, ensuring all tasks are organized and tracked.
+ Lead in-person event management, including soliciting and training volunteers for events as needed.
+ Travel to event locations as required, overseeing on-the-ground coordination and troubleshooting.
+ Determine fiscal requirements for events, including preparing budget recommendations, negotiating vendor terms, and ensuring adherence to financial constraints.
+ Record event data in Raiser’s Edge, ensuring accuracy and timeliness.
+ Leverage Give Campus and other technologies to optimize event reporting, communication, and guest experience.
+ Analyze trends from multiple events, providing feedback and recommendations for future events and strategies.
