A small, mission-driven government consulting firm focused on pursuing federal and state contracts in healthcare, education, transportation, and IT. They deliver patient-safety and healthcare facility support, administrative services, data analysis and database development, and technical consulting to federal agencies. The firm has prior government contract experience and pursues opportunities across agencies such as DoD, VA, Department of Education and state-level opportunities.\n
Why does this role exist?
This role is being hired to provide independent, hands-on contracts and proposal support so the CEO can focus on strategy and client work. The specialist will build and maintain the opportunity pipeline, prepare and format compliant proposal materials (RFP/RFI/RFQ responses and SOWs), perform contract language checks, and manage proposal files and communications—requiring minimal onboarding and immediate productivity. The goal is to increase proposal throughput and compliance while reducing the CEO’s administrative and proposal-management burden.
The Impact you’ll makeProposal Preparation & Compliance\nDraft, format, proofread and finalize RFP/RFI/RFQ response documents, including Statements of Work and associated attachments.\nEnsure proposal formatting and content meet agency-specific submission requirements and templates.\nCoordinate revisions, track version control, and submit final proposal packages per client deadlines.\nPipeline & Business Development Support\nBuild and maintain a pipeline tracker/spreadsheet of ~30 target federal and state agencies and opportunities.\nMonitor opportunity statuses, key deadlines, and next steps; provide weekly pipeline updates.\nConduct market research to identify relevant opportunities, capture requirements, and surface win themes.\nContract Review & Risk Flagging\nReview contract language and solicitation clauses; identify and flag compliance, scope, and pricing issues for CEO review.\nPerform basic checks-and-balances on terms, deliverables, and performance periods.\nRecommend simple remedial language or queries to clarify ambiguous or risky contract provisions.\nFile & Communications Management\nOrganize and manage proposal and contract files in Google Drive with consistent naming/versioning conventions.\nManage proposal-related email communications; draft and send outreach and follow-up emails (no phone calls).\nCoordinate reviewers, consolidate edits, and ensure final sign-off workflows are completed.\nResearch & Administrative Support\nConduct targeted research for proposal content (e.g., agency backgrounds, past performance mapping, technical references).\nSupport administrative tasks tied to proposals and BD (e.g., templates, compliance checklists, contact lists).\nMaintain basic trackers and logs to support auditability of proposal activities.\n
Skills, Knowledge and ExpertiseRequired:\nPrior U.S. federal and/or state government contracting experience supporting RFP/RFI/RFQ responses.\nDemonstrated experience drafting or formatting Statements of Work (SOWs) and working with contract language/clauses.\nProven ability to independently prepare proposal materials with minimal training (able to “hit the ground running”).\nStrong written English, editing/proofreading skills and advanced proficiency with Google Workspace (Drive, Docs, Sheets).\nAvailability to work full-time Mon–Fri 9:00 AM–5:00 PM ET (40 hours/week)\nWFH Set-Up:\nComputer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.\nInternet speed of at least 40MBPS\nHeadset with an extended mic that has noise cancellation and a webcam\nBack-up computer and internet connection\nQuiet, dedicated workspace at home\n\n\nYour Superpowers:\nDeep familiarity with RFP/RFI/RFQ structures, SOW formatting, solicitation compliance, and contract terminology.\nAdvanced Google Sheets/Docs/Drive organization and version control.\nCompetent with video/comm tools (Google Meet, Teams, Zoom) and communication platforms (Slack, WhatsApp).
