Job Overview:
The Utility Specialist responsibility is to track and turn over all new development and takeover associations utility invoices to FirstService Residential’s platforms.
Compensation: $23-25/hr
FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive. The base pay range is subject to change and may be modified in the future.
Your Responsibilities:
Manage A/P SharePoint Workflow and Utility Turnover Email Inbox by handling requests/inquiries in a timely manner (Turnovers/Takeovers same day) with requests received after 12 pm being processed by the next business day. Constant communication and follow-up with internal and external clients with respect to status of turnover from start to finish. All utility invoices obtained from previous management companies or from developers are to be updated with the correct association name, c/o FirstService Residential, mailing address and added to auto pay, so that future invoices are mailed directly to AVID (AP Portal) Should a utility shutoff arise, it is given priority and develop controls in place in order to avoid potential shutoffs in the future along with keeping up on utility email and phone correspondence. Working with internal and external clients to obtain the proper documentation/forms and information needed to complete the turnover. Client Assistance: Assist and communicate to both internal and external clients with questions or problems associated with utility companies, including waste accounts. Must have a working knowledge in the utilization of system tools and various research techniques to assist the client. Responsible to maintain files to ensure that all information is correct and current. Follows quality system procedures. Participate in special projects as needed, such as submitting property tax invoices. Retain expert knowledge of FirstService Residential' s internal software systems (e.g. Connect, FirstSource, AP Workflow, CamAcct, Jenark). Manage the upload of information into the AP Workflow and other internal software systems for newly launched communities.Skills & Qualifications:

Prior experience in an administrative capacity (administrative assistant or similar position) required. Prior Accounts Payable experience desired not required Prior utility turnover experience desired not requiredPhysical Requirements and Working Environment:
