Vehicle Fleet Coordinator

Job Title: Coordinator, Vehicle Fleet

FLSA Status:  Non-Exempt

Department: Fleet Operations

Reports to: Manager, Business Manager

GENERAL DESCRIPTION / PURPOSE:

The Coordinator, Vehicle Fleet is an administrative and operation role primarily responsible for oversight of all Loram vehicles including DOT and non-DOT assets. This role serves as the point of contact for all Loram fleet vehicle daily activities for Loram employees and vendors. Scope of role includes day-to-day maintenance of software platforms contracted to support fleet vehicles which may include, but are not limited to vehicle assignments, tracking, licensing, fuel purchases, maintenance, accident repair, safety cameras and DOT rules and logistics.

ESSENTIAL JOB FUNCTIONS:

Program Administration

Maintain operational oversight of the vendors' software platforms used to operate and maintain Loram’s vehicle fleet. Point of contact for vehicle questions, authorization of service and repairs DOT knowledge of regulations and hours of service, driver logs, knowledge of commercially regulated vehicle standards. Ensure vehicles have current registrations, and insurance information. Provide cost of ownership analytics and capital purchase recommendations Responsible for maintaining Loram’s fleet Database.

Communication

Maintain outside vendor and service provider relationships. Communicate clearly and effectively with business unit managers and field employees regarding use of vendor services to ensure the optimal benefit of such services. Provide management with monthly operating KPI summary data.

Business Management

Oversight of fleet vehicle assignments to ensure assets are tracked and accounted for and expenses are assigned to correct cost centers. Coordinate movement of new trucks, retiring trucks coming back to Hamel, trucks going in for service and repairs that are located at Hamel. Facilitate the end of service of fleet vehicles. Oversee DOT compliance and reporting as it relates to the fleet (i.e. inspections, door logo, safety equipment, driver logs). Act as a resource for drivers with DOT compliance questions and represent Loram in the event of external audits. Order, distribute and track materials necessary for fleet vehicles, including but not limited to fuel cards, driver guides, electronic toll devices and collision avoidance systems. Oversee the administration and operation of Loram vehicle safety features. Audit fleet-related invoices for correctness, resolve exceptions, and process for payment utilizing established procedures.

REQUIRED QUALIFICATIONS:

Education: Associate Degree

Experience: 3+ Years Knowledge and understanding of fleet operations function. 1+ Years Ability to manage multiple work sites and ability to focus on people and safety. 2+ Years Ability to make sound business decisions in accordance with Company values, mission and vision. 3+ Years Experienced with delivering against customer expectations and a high sense of urgency environment that demands safety excellence. 1+ Years Experienced in leading and motivating teams to drive employee engagement in servicing customers and achievement of objectives.

PREFERRED QUALIFICATIONS:

Education: Bachelors Degree in Business Administration

Experience: 2+ Years CDL/DOT experience

Licenses/Certifications: All Railroad Specific Certifications to operate on track. Class A or B drivers license
