Job DescriptionThe Vendor Diversity Specialist is responsible for leading and coordinating moderately complex, project-oriented tasks with a focus on operational excellence. Working under the direction of management, the Specialist plays a key role in ensuring the smooth execution of departmental projects through high-level clerical support, compliance activities, and reporting.
Responsibilities:Reviewing project plans, tracking milestones, coordinating project components, and providing timely updates to stakeholders. The Specialist also serves as a backup to the Manager, assisting with supplier diversity initiatives and conducting ad hoc contract compliance reviews. Supporting vendors through procurement processes, resolving contract-related concerns, and managing a subset of contracts that require increased oversight. Provide logistical and administrative support to the Vendor Diversity team, including meeting coordination, documentation, vendor communications, and project follow-ups to ensure goals and deadlines are met.Coordinate assignment workflows for contract renewals and change orders, assist with data entry in the B2G system, and maintain a portfolio of contracts requiring greater oversight to support workload distribution.Conduct compliance reviews, track and address noncompliant contracts, coordinate with stakeholders to ensure timely corrective actions, and escalate unresolved issues for additional managerial intervention.Provide direct assistance to vendors with active contracts by guiding them through compliance requirements, responding to contract-related inquiries, and offering support in navigating procurement processes.Support the Assistant Director in managing the Utilization Plan (UP) appeals process, including calendar coordination, timely documentation, and tracking of appeals for review and resolution.Review and respond to Vendor Sourcing Requests, assist in evaluating contract renewal recommendations, and ensure contracts are processed in accordance with established policies and deadlines.Serve as a backup to the Manager, offering support with contract compliance reviews and team coordination in their absence. Act as a liaison to departments and external partners to ensure effective communication and process flow, as neededQualifications and Requirements:Associate or bachelor’s degree in business administration, Public Administration, Supply Chain, or a related field (equivalent experience may be considered)2–4 years of experience in procurement, contract administration, supplier diversity, or related project coordination.Intermediate proficiency in Microsoft software applications to include Outlook, Word, Excel, PowerPoint, Share Point, project management software, and other standard office equipment and software. Valid Texas State Driver's License (or ability to get one once hired).  Preferred Education/Experience Bachelor’s degreeThree (3) years of related project or program management experience in an organization of similar size, complexity, and administrative activities.Advanced proficiency in Microsoft software applications to include Outlook, Word, Excel, PowerPoint, Share Point, project management software, and other standard office equipment and software. Familiarity or professional experience with Peoplesoft, Monday.com, or other project management software tools.Knowledge of public sector procurement or supplier diversity practices.Benefits and Perks:Pay Rate: $28.00-$33.00 per hourMedical Benefits – via agencyHolidays – via agency policies
