Job Description

Accountability Statement:

The GWAM Vendor Management team is a trusted advisor to businesses across the institution for all phases of custody and vendor management and serves as an extension of GWAM Vendor Management team in North America (Boston).

It is a client-facing team who oversees Manulife’s global custodial and vendor relationships in relation to their role as Vendor Management Analysts. The team is responsible for assisting clients and stakeholders by providing ongoing support and guidance such as informing clients of specific custodial and vendor service offerings, governance, assisting operational teams and interfacing with multiple service providers.The successful incumbent will also show an aptitude for learning, showing initiative and identification of opportunities for improvements.

The incumbent will be required to work on a fixed night shift to match the North America business hours. However, must be willing to report on a mid/day shift (if necessary) to attend meetings/discussions with Asia and Europe offices.                                                                                                                                          Role and Responsibilities:

Reporting:Provide support (if needed) to ensure timely completion and creation of Global Custody Relationship (GCR) reportFacilitate vendor scorecard/performance review, measurement, comparison, and trackingTimely collection, review, and checklist creation of vendor SOC (Service Organization Controls) reportsMonitor and gather critical vendor news reports and updates (using FACTIVA)Ensure timely collection of Service Level Agreement (SLA) reportsUpdate various vendor data points in ProcessUnity (internal system used to house vendor information) such as Dun & Bradstreet ratings, Geographic Risk ratings, vendor services, tiering, contact details, and othersTimely collection and review of nightly NAV files and Operations Books for certain custodians (SSB and Citi)Ensure timely completion of KPI reporting (using Power BI) for certain custodians (SSB and Citi)Extract vendor data to calculate/format into presentable reports, charts, and graphsEvaluate vendor information gathered from multiple sources/reconcile conflicts to ensure integrity of dataComplete and support ad hoc analyses and data collection of historical vendor informationPerform peer reviews and quality control functions (for mid to high complex tasks/reports)

Operational Support/Tactical:Provide support (if needed) for any oversight functions performed by the business unitMaintain day-to-day relationships with various internal clients including front office, back office, treasury, and riskParticipate in initiatives to reduce manual collection of data and report automationMaintain and update policy and procedure documents, as requiredMonitor the team’s common mailbox and ensure all queries and requests are addressed timely and accurately. Ensure effective and proper utilization of the team’s common mailboxEnsure team’s deliverables were completed timely and accurately

Desired Skills and Experience:Bachelor's degree in BS Accountancy, BS Banking and Finance, BS Financial Management, or other business degreesMinimum 2 years of relevant experience in the financial services industry in various front and back-office capacitiesGeneral knowledge of financial markets and the asset management industryBackground in risk and/or control-related functions, legal, contracts remediation, vendor or custodian management is a plusProficient in MS Office suite including Outlook, Teams, Word, and Power PointIntermediate proficiency in MS Excel (e.g., lookup and logical formulas, pivot tables, etc.); experience in Macro and Visual Basic for Applications (VBA) is a plusKnowledge in BPMN standards and MS Visio is a plusStrong verbal and written English communication skillsStrong time management and prioritization skillsFlexible on overtime
