JOB DESCRIPTION
Role and Responsibilities
Strategic Regional Vendor Management Initiatives:
Support the Regional Vendor Management Oversight Expansion initiative, which encompasses all critical vendors for Asia WAM, with the objective of integrating the delta into the Vendor Management oversight model.Support the Asia Ivalua Registration project, which aims to register all significant contracts into the internally-approved contracts repository, Ivalua. Provide guidance to the local MIM teams throughout the various phases of the project.Facilitate the transition of these projects into ongoing business-as-usual (BAU) work and continue to provide support as needed upon their successful completion.Support future strategic Regional Vendor Management initiatives.Provide any necessary ad-hoc project support as needed.Monthly Balance of Trade and Management Information System (MIS) Reports:
Collect and validate completed templates and other data/information from Asian countries and other sources.Critically evaluate information gathered from multiple sources and reconcile conflicts to ensure data integrity.Handle and consolidate collected data to generate comprehensive reports.Review reports for any deviations from established trends.Maintain and update/revamp templates as required.Due Diligence Questionnaire (DDQ) Process:
Collect and evaluate completed questionnaires.Maintain a record of all reports received during the due diligence process.Collaborate and fulfill requests from Procurement and Vendor Risk Management teams.Maintain and update/revamp the due diligence questionnaire as required.Vendor Service Reviews and Escalations:
Review service provider fee billing using reasonability checks and benchmarks.Track and monitor service provider KPI to identify month-to-month differences.Collect and evaluate SOC/ISAE Reports (Asia).Track and monitor Incident Reports.Review Failed Trades and follow-up with external service providers as needed.Records Management:
Support the annual records inventory and destruction exercises for Global Records and Information Management for teams within scope.Ad-hoc Projects and Tasks:
Fulfill requests from the Function Lead to support the MIM HK and Regional Vendor Management functions.Fulfill requests from the GWAM Vendor Management team (formerly Global Custodian Management), Third-Party Risk Management (TPRM), and other global teams requiring Vendor Management assistance.Identify gaps and inefficiencies in workflows within the Vendor Management team, and recommend or initiate process improvements and control measures.Liaise with internal or external contacts as needed to gather data and information.Create and update documentation, including procedure manuals and BPMN diagrams.Stay updated with relevant developments in the securities industry and market-specific best practices.Provide ad-hoc operational support as required by the Business Unit or senior management.Qualifications
A minimum of 5 years of experience in the Financial Services industry.Experience in supporting medium to large-scale projects.Bachelor's degree in Accountancy, Banking and Finance, Financial Management, or a related business field.Background in Vendor Management, Operations, Finance, or Risk and Control-related functions; Legal, Compliance, Contract Remediations, and Due Diligence experience is a plus.Experience in engaging cross-functional teams and managing stakeholders across different regions.General knowledge of financial markets and the asset management industry.Strong communication and interpersonal skills.Proficient in relationship management.Intermediate proficiency in the MS Office suite, including Outlook, Teams, Word, and PowerPoint.Intermediate proficiency in MS Excel, including logical formulas and pivot tables.Experience in process documentation; familiarity with BPMN and Microsoft Visio is advantageous.Knowledge of VBA/Macro is a plus.Knowledge of regulatory requirements and compliance in the financial services industry is a plus.Attributes
