Vendor Management System Coordinator
The **Vendor Management System** **Coordinator** I (VMS) is responsible for supporting the management and operations of the Vendor Management System (VMS) to ensure seamless and efficient workforce management. This role involves assisting with the coordination of temporary staffing, monitoring and reporting on vendor performance, and ensuring compliance with VMS processes. The VMS Coordinator I works closely with internal teams and external vendors to facilitate timely and accurate staffing requests and optimize the use of the VMS platform. **RESPONSIBILITIES** + **Vendor Management System (VMS) Support:** + Assist in the daily operations of the Vendor Management System, ensuring accurate data entry, updates, and system configurations. + **Vendor Coordination:** + Collaborate with vendors and internal teams to ensure the timely fulfillment of staffing requests and proper vendor performance. + **Data Management & Reporting:** + Monitor and track staffing requirements, vendor performance, and other VMS-related metrics, ensuring timely reporting to stakeholders. + **Compliance & Process Adherence:** + Ensure all VMS processes and procedures are followed, ensuring compliance with organizational policies and vendor agreements. + **Issue Resolution:** + Respond to and resolve basic system and vendor-related issues, escalating complex problems as needed. + **Vendor Performance Monitoring:** + Assist in monitoring vendor performance, identifying areas for improvement, and ensuring vendors meet service level agreements (SLAs). + **Communication & Collaboration:** + Act as a point of contact for internal teams and vendors, facilitating clear and effective communication related to staffing needs and VMS processes. + **Documentation & Record-Keeping:** + Maintain accurate and up-to-date records of staffing requests, vendor interactions, and system updates in accordance with company policies. + **Continuous Improvement:** + Provide input on opportunities to improve VMS processes and efficiencies, supporting the overall optimization of the vendor management program. **QUALIFICATIONS** + High School diploma or equivalent; associate’s degree or relevant certification preferred. + 2-4 years of experience in VMS coordination, contingent workforce management, or a related field. + Prior experience with VMS systems (e.g., Beeline, SAP Fieldglass, or similar) is highly preferred. + Strong knowledge of contingent workforce processes and vendor management. + Experience with data analysis, reporting, and working with HRIS/VMS systems. + Ability to handle multiple priorities with attention to detail and accuracy. + Strong problem-solving skills with the ability to troubleshoot system issues effectively. + Excellent communication skills, with the ability to interact with vendors, internal teams, and senior leadership. + Ability to work independently and collaboratively in a fast-paced environment. + Proficiency in Microsoft Excel (pivot tables, VLOOKUP, data analysis) and other Office Suite applications. + Knowledge of relevant labor laws, compliance standards, and risk management best practices preferred. **Wage Range:** The hourly rate for this position is between $18.75 - $27.50 per hour.
