Purpose of the Role
BGIS is seeking a detail-oriented and analytical Vendor Performance & Capacity Administrator to support a government housing aligned client portfolio. Reporting directly to the Subcontract Manager, this role is crucial in driving vendor performance visibility and ensuring that the allocation of residential maintenance work is based on price, capacity, and historical performance.
This role is based in Sydney CBD, conveniently close to public transport. It suits candidates with excellent phone manner and strong system administration skills who can adapt to evolving priorities and thrive in a fast-paced, vendor-facing environment.
The Ideal Candidate Will Be
- Highly organised with a strong customer service and phone manner.
- Analytical and process-focused, with an eye for detail and accuracy.
- Proficient in systems administration and confident working in Excel.
- Experienced in coordinating vendors or contractors and producing reports.
- Able to work collaboratively in a fast-paced environment.
Key Responsibilities
- Develop and manage the Capacity & Allocation Report to support equitable work distribution.
- Produce vendor performance reports using BGIS systems and compliance registers.
- Coordinate vendor performance meetings, minute actions, and track outcomes.
- Support vendor allocation decisions based on agreed volume capacities.
- Manage vendor availability and escalate trade gaps to the Subcontract Manager.
- Ensure vendor suspensions or reactivations are systemically supported and documented.
- Identify and recommend process improvements across vendor performance workflows.
Education, Experience & Skills
Essential:
- Experience in business administration, reporting or coordination roles.
- Strong phone manner and written communication.
- Proficiency in Microsoft Excel and reporting systems.
- Understanding of contractor management or vendor performance frameworks.
Desirable:
- Previous experience in residential or housing sector.
- Administrative or business qualifications.
- Exposure to quality assurance or contract compliance processes.
