The Office of Events is a growing department whose primary function is to assure the events hosted by Utah State University, "Exceed Expectations".

 

The primary purpose of this position is to work under the direction of the Assistant Director of Venues. This position will assist in preparing various logistical arrangements for conferences and events. The position requires assisting with logistical coordination, data entry, financial management, and administrative tasks. Job duties include but are not limited to venue coordination, communication with conference/ event coordinators, onsite service partners, and any miscellaneous tasks or assignments delegated by the Assistant Director of Venues.

 

Schedule:
• 25-30 hours per week during the semesters. Hours can increase during the event seasons.
• Can work to accommodate class schedules but are expected to primarily work Monday to Friday between 7:30 am to 5 pm.

Responsibilities Data Entry Assist in updating Event Management Software (EMS) and application software with all relevant conference and or event data and information related to the operation teamsInput hour from hour tracking software in ensure accurate billingFinancial Management Assist in updating conference/event financial statements that pertain to the operation teamsAssist in tracking and reconciling conference and or event expenses, including direct costs associated with a conference and or eventAdministrative Tasks Assist in editing and proofreading conference and or event communications and documentsAssist in providing customer service for conferences and/or eventsAssist in keeping accurate, timely, and legible notes of various meetingsMaintain inventory of department equipment and provide basic upkeep and create replacement scheduleSending conformation emails and communicates between operational teams and customersAssist with onboarding and offboarding employees under the direction of the Assistant Director of Venues or the appropriate team supervisorAssist with administrative project as assigned to improve team functions  Miscellaneous Duties Assist in basic maintenance of departmental vehiclesOther duties as assigned Qualifications

Minimum Qualifications:

Ability to meet deadlines in a high stress environment and complete multiple tasks simultaneouslyAbility to speak, read, write, and understand English proficientlyAbility to adapt to changing conditions or work assignments.Productive worker with solid work ethics who exerts effort in successfully completing tasks.Dependable, responsible contributor committed to excellence and success.Willingness and ability to learn new skills or techniques.Ability to effectively assist with multiple room sets and cleaning projects and to lift items.

Preferred Qualifications:

Strong clerical and record keeping skills and ability to learn systems and procedures quickly and proficientlyStrong organization skills, attention to detailStrong knowledge of Microsoft Suite applications, such Word and Excel, and the ability to learn event management software quickly and proficiently (training provided)Ability and willingness to conform to department dress codes.Ability to work unsupervised and attend departmental meetings Required Documents

Employees work indoors and are protected from weather and/or contaminants, but not, necessarily, occasional temperature changes.  The employee is regularly required to sit and often uses repetitive hand motions.
