Vetting Coordinator

Job Description

We are seeking a dedicated and experienced Vetting Coordinator for our Fleet Services managed vessels. As the Vetting Coordinator, you will be responsible for executing the internal vetting process within Fleet Services. Fugro operates vessels located in different regions, and you will be an integral part of the QHSSE team.

In this role, you will collaborate closely with all departments of Fleet Services and its stakeholders to ensure that our vessels are effectively inspected and that we continue to promote industry best practices and operational leadership. You will have the freedom to think creatively about improvements, design processes, and implement procedures. There are numerous opportunities for enhancing digitalization and coaching/mentoring our crew and shore personnel.

This role involves frequent global travel, so it is essential that you are able to visit vessels and Fleet Services offices as needed.

Your Role:

You lead and oversee the OVMSA process, including the annual OVMSA review and submission. You manage external audits and ensure the assignment and follow-up of necessary actions within the vessel and shore-based management teams.

You work in close liaison with vessel and shore-based management teams to ensure that all vessels in Fleet Services have either a valid OVID or eCMID (not more than 12 months old).

You plan and execute peer review inspections and audits for Fleet Services vessels' Special Survey Docking and Conversion projects in consultation with the Technical Department.

You provide guidance to vessel and shore-based management teams, ensuring a standardized and consistent approach during audit closeouts within Fleet Services.

You provide training, coaching, and mentoring to sea and shore staff in the vetting process, offering guidance to masters and officers for OCIMF OVID and IMCA eCMID inspections.

You prepare quarterly reports that show fleet services performance regarding PSC, OVID, eCMID, and client inspections.

You liaise with vessel and shore-based management teams to ensure proper root cause analyses are entered by the Marine Assurance Officer for deficiencies raised following a Port State Control inspection.

You liaise with vessel and shore-based management to ensure the Marine Assurance Officer enters proper responses in the OCIMF OVID and IMCA eCMID portals.

Your trackrecord:

You possess 5-7 years of experience in maritime operations, with a significant portion dedicated to roles involving vetting, inspections, or audits. Additionally, you have a minimum of three (3) years of sailing experience or at least three (3) years of onshore work experience with a vessel owner/operator in a QHSSE or technical superintendent position;

You have proven experience conducting internal and external audits, inspections, and compliance checks, ideally in the context of marine assurance;

You have strong understanding of international maritime regulations (e.g., ISM, ISPS, MLC, MARPOL), safety standards, and best practices;

You are proficiency in using vetting software and tools, such as OCIMF OVID and IMCA eCMID, as well as general office software. In this role you act as the administrator for users on these accounts;

You are able to interact with a variety of people in varied settings and have excellent communication skills in English (both written and spoken).
