Volunteer Services Assistant Manager

Position Summary

Under the supervision of the Manager of Volunteer Services, the Volunteer Services Assistant Manager focuses on the coordination of the volunteer onboarding processes, planning, recruiting and recognition events, and on providing a welcoming, quality hospital experience to volunteers, guests and staff. Must be able to work well and communicate with volunteers of all ages, ethnicities, and backgrounds.

 

Overall

The Volunteer Services Assistant Manager is responsible for training and providing support to the volunteers and responding to the needs of hospital guests or staff as needed. The Assistant Manager will assist in recruiting for all volunteer positions, onboarding, placement and recognition of all volunteers.

 

Work Performed

1. Uphold and promote the ICARE values and AIDET guidelines.

2. Recruit, train and supervise volunteers to ensure they are adequately prepared to oversee daily operations and services of the volunteer stations, making sure they are knowledgeable of all policies and procedures and adhering to such policies.

3. Assist with volunteer schedules and arrange for substitutes to fill open shifts as necessary.

4. Staff the volunteer station when reasonable if no volunteer is available based on priority and needs of MCHS.

5. Assist in developing and implementing strategies to retain volunteers

Provides feedback and recommendations to Manager of Volunteer Services for performance improvement of the program. Assists with the recognition at special events to honor volunteers. Assists with the evaluation of volunteer programs and holds small group meetings as needed per volunteer station.

6. Should have good interpersonal communication skills through verbal or email messages to volunteers.

7. Identify and seek prospective recruiting or fundraising opportunities.

Attend special events and functions to create awareness of the volunteer program opportunities. Cultivate relationships with community as prospective donors/supporters/volunteers. Send thank you notes or certificates as appropriate to groups and individuals supporting the volunteer program.

8. Coordinate with the Manager of Volunteer Services regarding motivational and inspirational training programs for volunteers.

9. Round on volunteers to show gratitude for their service, answer questions and assure compliance with MCHS policies and procedures.

10. Perform a weekly maintenance check of volunteer areas and report any discrepancies. Ensure volunteer stations are kept clean and well-maintained.

11. Maintain accurate volunteer records through computer software for reporting purposes.

12. Track supply inventory and coordinate with Manager of Volunteer Services to order when needed.

13. Promote goodwill for volunteers among staff, guests and community.

14. Inform Manager of Volunteer Services of all volunteer concerns or needs.

15. Provide information, photos, and articles to Marketing to promote the volunteer program to staff and within the community using social media, making sure to follow hospital photography policy.

16. Attend MCHS functions, staff meetings and committee meetings as needed.

17. Respond to emergency situations involving volunteers and as needed for staff or guests.

18. Performs other duties as assigned by the department’s management staff.

Weekly Focus:

· Promote shuttle cart service to recruit new drivers and build rapport to retain current drivers

· Initiate contact with new applicants within 3 days of application and coordinate interviews and onboarding paperwork in a timely manner.

· Assist in planning and implementing volunteer programs, opportunities and events.

Qualifications

Education

Bachelor’s degree required or actively pursuing bachelor’s degree that must be completed within two (2) years upon hire. Volunteer Manager certification or similar experience recommended.

 

Training and Experience

Strong organizational skills needed. Must be personable and compassionate with a positive and optimistic outlook. Must speak and write in English, comfortable with public speaking; bilingual preferred. Experience with special functions and event coordination; computer experience with Microsoft Office Word and Excel required, Outlook helpful.

 

VI. Job Knowledge

Previous knowledge and experience in the field and supervision of volunteers preferred.

 

VII. Unusual Physical Demands and Working Conditions

Work is of moderate demand; walking and standing some of the time. Schedule may occasionally be changed to accommodate special events and functions.
