Position Overview
The Warehouse CapEx Coordinator will process and coordinate all incoming business activity for CapEx Fulfillment while providing outstanding service. This position will process paperwork and coordinate deliveries for outgoing shipments daily. The Warehouse CapEx Coordinator will assist the CapEx Fulfillment Supervisor in daily tasks and complete administrative tasks as assigned. The Warehouse CapEx Coordinator reports into the Director, Warehouse Operations.
Key Job Responsibilities
Order Processing & System Maintenance
• Process Configuration hotel equipment sales orders and schedule for shipment.
• Create manual sales orders for equipment requests when needed.
• Process and coordinate weekly orders shipping to Encore’s corporate office.
• Close out orders shipped daily in Encore’s WMS (Warehouse Management System) to generate packing lists and generate back orders.
• Maintain customer orders and update any necessary information in the WMS per request.
• Monitor incoming emails through the designated CapEx requests inbox and respond in a timely manner to all inquiries.
• Assist the warehouse team with receiving and picking orders when needed.
Transportation
• Work closely with Encore’s logistics carriers to coordinate shipping CapEx orders to Encore hotel locations.
• Process shipping paperwork for orders shipping daily including BOL creation and follow through.
• Communicate delivery information via email with Encore’s internal hotel partners.
• Create and provide custom documentation and paperwork for international orders.
• Coordinate equipment recycling orders and pick-ups with Encore’s recycler and hotel locations.
Administration
• Research and assist with transportation claims for CapEx orders including providing Supervisor with necessary information and processing replacement equipment orders with the Asset Management Team.
• Assist the CapEx Fulfillment Supervisor with reports and research when requested.
• Assist with other duties as directed.
Job Requirements
• 2+ years of experience working in a fast paced, multi-tasking warehouse distribution office environment with a demonstrated high degree of accuracy and attention to detail
• Demonstrated ability to work in a high-volume environment while being able to think creatively and effectively solve problems
• Proficient in Windows and Microsoft Office applications with an emphasis on Excel.
• Excellent written and verbal communication, interpersonal and customer service skills
• High degree of commitment to service excellence

Work Environment
Warehouse
Work is performed at event venues as well as in a warehouse environment. Team members must adhere to appearance guidelines as defined by Encore based in a warehouse environment and when traveling, on an individual venue or a representation of venues in that city or area. When in the Warehouse, work will be completed in an environment with exposure to outdoor temperatures and to dirt, sand and/or dust. The working conditions will vary between moderately quiet to noisy volumes. Team members may use high-end audio-visual equipment and electrical components. Working times may include irregular hours and on-call status including days, evenings, weekends, and holidays.
