Wealth Market Associate
**Location:** 4900 Tiedeman Road - Brooklyn, Ohio 44144-2302 The Wealth Market Associate (WMA) will report directly to the Head of Field Support. The Wealth Market Associate will be responsible for ongoing operational support of Wealth Market Leaders and their advisor teams within defined markets or region. The WMA is dedicated to the Mass Affluent Market and will act as a trusted team member focusing on day-to-day operational needs of the Wealth Market Leaders and their market sales force. This role will be critical in helping to support a mass affluent segment to our overall delivery model within the Bank. **Responsibilities:** + Sales Reporting – maintain monthly snapshot of production reports for each PCA for WML. + Managed Money Annual Review – Download report from Salesforce of Outstanding Annual Reviews that need to be done. + System Acumen – Salesforce, Terrapin, M&O, NetX, Money Guide Pro, Lead Management + New Hire onboarding: + Act as liaison between new hire and back off to obtain information needed for licensing/registration. + Act as liaison between Retail and WML to ensure space/office is available for new hire. + Order computer and work with technology team to ensure timely receipt. + Process requests for phones, email updates, system access and new hire supplies. + Setup new hire onboarding calendar in collaboration with WML + Provide guidance to new PCA during onboarding for the following: + Set up of Key Connect Page with APPs and links. + Set up of WebEx, Microsoft Teams, Voicemail, Outlook Signature and obtaining a new Biscom Fax line. + Overview of all systems utilized within their day-to-day activities. + Review “HOT” Files for compliance that need to be set up. + Book of Business + Download a list of accounts out of NetX for each branch within new territory. + Separate list into files for review – closed accounts, pending close accounts, active accounts, $0 Balance accounts. + Review files with WML and send instructions to current PCA for review/return. + Review returned files, process book movements. + PCA introduction Letter (if applicable) + Compose Letter for review / approval by WML / CSG / Compliance + Assist in obtaining mailing list for review / approval. + Assist with mail merge / mailing where needed. + Offboarding for termed employees: + Pull BOB from NetX for Retention & Calling Purposes and future movement to temporary or permanent coverage. + Send Back-office Term Notification + Terminate employee in Workday system and all access in required systems. + Complete offboard at Key Request and ensure all equipment has been returned. + Process request for voicemail passcode change, update voicemail and sent any current voicemails to WML for review / distribution of coverage. + Update to remove terminate employee from distribution lists, meetings, and team’s page. + Create BOB Mailing (if applicable) + Process BOB movement inclusive of NetX accounts, Annuities (inclusive of changes to carriers) and Fund Direct account (if applicable) to temporary or permanent coverage. + Assist (as needed/appropriate) when Wealth Market Leader is unavailable. + Assist with partnership communication between Retail and other groups within KIS. + Create / Maintain market listings inclusive of branch coverage, PCA hub locations. + Collaborate with Retail partners and Licensing group to pass along movement within the PCB teams. + NetX Manager Que’s – pull reporting, review with Wealth Market Leader and process movements. + Book of Business Maintenance (for existing or termed reps) + Annuity Book rep of record changes (for existing or termed reps) + HR / Workday Support: + Maintenance of Positions + Open positions/create requisitions/close requisitions. + Process updates - promotions / demotions, change of location, title, etc. + Process Time / PTO Corrections + Process as delegate expense reports for WMLs + Review / Approve expense reports as delegate for WML. + Process purchasing requests for supplies for WML. **Day to Day office support:** + Outlook Calendar Maintenance for WMLs + Set up Monthly 1:1s for WMLs, Team Calls, Market Calls etc. as required. + Supply orders + Rep Code Changes within NetX + Annuity Rep of Record Changes + HUB Location Changes – ensure space available / set up, communicate with licensing, back office, KB, and order new business cards. Letters to clients only when phone # and location changes. **Client Events:** + Co-ordinate planning meetings between WML, CIO and WRE and KPB Leader (if applicable) to review logistics and plan for client event. + Work with Marketing, CSG and Compliance for an approved client invitation + Create shared Client Event page (make private) within Market Teams Page (if needed) to house client invitation list, business tracker and approved invitation. + Gather all PCAs participating invitation lists into one master list and submit to CSG / Compliance for approval for invitation. + Communicate Approval to all PCAs/WML + Research/Source location to hold event and work with location to set up event/overnight accommodations for those that need to travel in to event. + Create Sign in sheets, name tags for event if needed. **Team Meetings / Trainings:** + Secure location / space (if no internal space large enough or available to work with) + If external work with Location to set up rooming list if needed for overnight accommodations, secure AV and confirm meeting times / # of attendees. + Send out Save the Dates / Meeting Invitations + Coordinate planning calls to layout Agenda + Create PowerPoint presentation and gather materials for presentations. + Communicate any pre-work needed to attendees. + Confirm/communicate any overnight accommodation. + Gather all supplies / print materials (if applicable) + Create Agendas/power points presentations/sign in sheets. + Performs other duties as assigned; duties, responsibilities and/or activities may change, or new ones may be assigned at any time with or without notice. + Complies with all KeyBank policies and procedures, including without limitation, acting professionally at all times, conducting business ethically, avoiding conflicts of interest, and acting in the best interests of Key’s clients and Key. **Education Qualifications** + High School Diploma (required) + Bachelor's Degree (preferred) **Experience Qualifications** + 3+ years’ experience in brokerage or bank-based brokerage firm support role. **Tactical Skills** + Must have strong organizational, verbal, written communication skills, including the ability to be comfortable working for and receiving instructions from several team members. + Strong proficiency in all Microsoft Office suite applications (Excel, Word, Outlook, etc.). + Ability to be flexible and work diplomatically in team environment and the ability to quickly assimilate and use other programs, processes, and procedures with minimal to moderate instruction is necessary. + Highly organized individual with a penchant for strong judgement, accuracy, the capability to balance multiple priorities and the ability to perform at a high standard in a fast-paced environment. **Core Competencies** + All KeyBank employees are expected to demonstrate Key’s Values and sustain proficiency in identified Leadership Competencies. **Travel** + Occasional travel to include overnight stay. COMPENSATION AND BENEFITS This position is eligible to earn a base hourly rate in the range of $30.00 to $35.00 per hour depending on location and job-related factors such as level of experience. Compensation for this role also includes short-term incentive compensation subject to individual and company performance.
