Program communication by approaching others w/an attitude of Hospitality & service. + Answers the telephone in a prompt and courteous manner; stating name, department, and offers to provide assistance; and is attentive to participant's needs. + Forwards all incoming calls to appropriate W.I.C. personnel in a respectful manner. + Relays messages accurately and in a timely manner. + Acknowledges all WIC dairy vendor (address, formula etc.) by correctly completing forms, reports to vendor and solves complaints according to State/Local W1C Policies. + Maintains outgoing WIC mail daily through: + Ensuring all mail is stamped correctly + Reads and records ascending and descending postage count. + Transporting mail to outgoing mail + Anticipates and accommodates the needs of WIC participants through proper scheduling of WIC appointments according to participant status. + Captures initial information to process new WIC participants according to State/Local WIC guidelines: + Verifies categorical; geographical and economic eligibility; + Completes and saves data to correctly intake WIC participants; + Completes and saves data to maintain group relationship for all family members and mails appropriate forms for families of three or more; + Completes and saves scr 107/Update Participants Schedule according to categorical eligibility. + Informs potential WIC participants of all necessary documentation needed for WIC certification. + Explains nutrition risk criteria for WIC eligibility. + Schedules participants for: recertification appointments; nutrition education; follow-up/individual high-risk appointment by verifying participant's status and base/term dates to prevent interruption of WIC services. + Accommodates participants request for specific dates/times or coordination with other family members + Updates and saves all necessary data in PC, and documents appointment in participant's file. + Certifies infants of WIC mother without visit (newborn) according to WIC System Redesign + User Procedures Manual, Section III 2.39-47. + Determines mother's status on the WIC Program (active/inactive) + Completes intake screen on computer giving newborn an identification number. + Obtains and enters into the computer: Health data, risk assessment, dairy delivery route code, schedules the appointment, groups mother and newborn under family group number; consults with Health Professional when necessary for appropriate food package, and issues coupons. + Verifies newborn ID, updates CPA and copies for chart. + Compiles newborn chart. + Maintains WIC appointment schedules through use of computer system and in accordance W/ State and Local WIC Policies and Procedures. + A Prints participant schedule function (C,R,K,E,F) reports daily. + Correlates participant files according to function and distributes to appropriate staff daily. + Telephone clients daily for appointment reminder. + Completes WIC reminder cards according to State/Local WIC Policy and Procedures; mails with appropriate forms within two weeks of scheduled appointment. + Maintains closed file system. + Purging all files on a monthly basis (5 years old, inactive women) + Shredding charts of children/women who have been inactive for three years and six months. + Responsible for clerical/office duties. + Maintains inventory of office supplies, State forms and completes purchase orders when necessary. + Maintains systematic order of employee bins, bulletin board and educational materials. + Shows effective use of equipment and materials. + Cross trained in duties pertaining to: Health Assistant; running the Beginning Day/ End of Day reports. + Assist health department with immunization clinics when needed. + Trains, supervises, and evaluates Private Industry (PIC); W.T.C.S.A; Trumbull County Joint Vocational School employees/students. + Attends Mercy Health and or WIC seminars/in services and correctly prepares travel forms. + Performs other duties as assigned by Program Manager. **Requ** **i** **reme** **n** **ts** High School Diploma required. **EXPERIENCE:** Six months to one-year experience in clerical required. Office work which demonstrates ability to handle a workload; varied office equipment and different personalities. Proper use of office machines/equipment - basis computer knowledge.
