Job Highlights 

Medical Office Assistant Youth Apprentices work closely with a nursing care team and learn all about front-end operations in our clinics including customer service, billing, and scheduling.  Availability to work days during a standard work week is crucial to fulfilling the 450 hour requirement.  An experienced Medical Office Assistant will serve as your mentor and will help guide your training while providing ongoing support in the role.  

 

Job Details  

Effectively work as part of a team, communicate effectively with close attention to details 

Maintain academic and attendance requirements for participation in the Youth Apprenticeship Program 

Participate in progress reviews scheduled with mentors, school staff, parent(s) or guardian(s), and employer 

Learn and conduct the process of scheduling and confirming patient appointments 

Collect and confirm accurate demographic and insurance coverage information 

Assist patients in person and via phone with questions related to policies, procedures, insurance, payments etc. 

Collect required payments and provide receipts 

Inventory, order and receive supplies and equipment 

Perform other duties as assigned 

 

Education and Experience Requirements 

High school junior or senior  

16 years of age 

Must be authorized and approved by the Wisconsin Youth Apprentice Program in accordance with your local school criteria  

Ability to work 10-15 hours per week at a clinic site M-F during the day 

Excellent computer and keyboarding skills 

Reliable transportation to get to and from work 

Satisfactory progress towards graduation 

Commit to completing 450 hours at the jobsite 

Demonstrated maturity and responsibility 

Skill with attending to details, excellent attendance and a strong work ethic 

Foster a culture of caring through interpersonal relationships and communication

Job Summary:

Performs a variety of administrative tasks in a medical office or patient scheduling center demonstrating outstanding skills in customer service.

Job Responsibilities and Requirements:

PRIMARY RESPONSIBILITIES

Locates, creates, and maintains information in the patient record. Navigates the medical record and/or patient scheduling software. Manages patient appointments. Assists patients both in person and via telephone. Performs basic payment collection. Inventories, orders, and receives supplies/equipment. Respects patient confidentiality and maintains Health Insurance Portability Accountability Act (HIPAA) compliance.  Works in a constant state of alertness and safe manner. Performs other duties as assigned. 

EDUCATION

Must be at least 16 years of age and currently enrolled in High School or 18 years of age with a High School diploma/GED

PHYSICAL REQUIREMENTS

Constant standing and walking.Frequent use of hearing and speech to share information through oral communication.Frequent use of hearing to distinguish body sounds and/or hear alarms, malfunctioning machinery, etc.Frequent lifting/carrying and pushing/pulling objects weighing 0-25 lbs.Frequent reaching, gripping, and keyboard use/data entry.Frequent use of vision for distances near (20 inches or less) and far (20 feet or more) and to identify and distinguish colors.Occasional bending, stooping, crawling, kneeling, sitting, squatting and repetitive foot/leg and hand/arm movements.Occasional use of vision to judge distances and spatial relationships.Occasional lifting/carrying and pushing/pulling objects weighing 25-50 lbs.Occasional lifting/moving patients.Occasional use of smell to detect/recognize odors.Occasional driving.
