Workflow Coordinator

Treasury is responsible for the cash and investment management activities of the AARP enterprise. This includes maintaining sufficient liquidity for operating needs, maximizing earnings on investments within policy guidelines and efficiently processing daily transactions. The Workflow Coordinator monitors the payment and non-payment processing workflows by balancing, reconciling, and reporting daily activities to ensure payments and associated data are effectively processed. Identifies, resolves, and informs management of any issues regarding daily processes, and connects with internal and external stakeholders to enhance decision making outcomes. Responsibilities Supervises the general workflow of the lockbox business units, to include daily staffing levels, vendor management, infrastructure maintenance, and lockbox processing activities. Manages, prioritizes, and organizes daily production processes (including incoming and outgoing mail, opening, keying and various functions), monitors staff and system performance (productivity, timeliness, and quality) and the achievement of customer-focused service level agreements (SLA). Ensures the timely delivery of client posting and bank deposit files. Reconciles all data files, resolves imbalance conditions, and escalates, remediates, and documents outages in conjunction with the unit manager and IT. Supports audit and PCI compliance requirements including action and process improvement plans. Participates in the disaster recovery/continuity of business preparedness activities including end-to-end testing and preparedness cycles collaborating with internal and external technical support teams and clients. Assists the manager with staffing elements (e.g., hiring, approving timesheets for temporary staff, compliance) and integrates FTE and temp workforce to ensure workplace effectiveness. Provides coaching and guidance to the staff. Supports manager with client engagements and visitations as well as the fiscal objectives of the lockbox to remain consistent with business directives. Supports lockbox vendor relationships ensuring the maintenance and integrity of the TOC core processing applications and equipment. Collaborates with lockbox peers to provide process improvement recommendations that ensure best practices are being employed across the lockbox footprint. Maintains a relationship with the USPS centers that support lockbox activities. Qualifications High school diploma, GED, or vocational training with 2+ years lockbox operations/processing experience; supervisory experience working in a high production and deadline-oriented environment. Ability to display high personal accountability and ownership for work performed. Independently driven and motivated to thrive in a fast-paced and changing environment. Demonstrated willingness to learn and be challenged by continual professional development. Proficient in using computer applications (Outlook, Excel, Word, etc.) and/or equipment used in the assigned area. Must be able to work a rotational shift structure to support a six day operation and overtime work schedule of staff. AARP will not sponsor an employment visa for this position at this time. Remote work can only be done within the United States and its territories.
