The purpose of the Workplace Coordinator is to lead the end-to-end delivery of workplace support services to ensure an exceptional workplace experience for all employees, residents and guests. This role will ensure that all services and activities are delivered with the highest level of detail and to the highest standards. As a key ‘go to’ person either on site, you will ensure that any service issues or requests are resolved effectively and quickly.Job Description
Workplace Management
Lead and deliver workplace services, ensuring consistently high levels of customer service satisfaction and strategic delivery of workplace services in line with operational requirements.
Ensure all escalations are effectively managed and promptly resolved.
Proactively meet and greet visitors during peak times and as required e.g. leave cover.
Provide clear and accurate direction/s to customers and key stakeholders.
Ensure all workplace tasks are being managed within agreed timeframes and procedures are followed accurately when closing out jobs.
Has a strong working knowledge of the key site contacts, amenities and business stakeholders.
Completes regular valet walks (where required) to ensure all meeting rooms, training rooms and utility rooms are clean and maintained to the highest standards.
Reports/resolves any workplace, maintenance and/or cleaning issues promptly.
Coordinate site operations to ensure continuity of workplace services with minimum disruption to the client’s business operations and maintaining optimal employee/resident/guest experience.
People Leadership
Lead a team of Workplace Agents and are responsible for ensuring the team are trained and coached to be able to provide an exceptional customer service experience for employees, residents and guests.
Manage the operations roster to ensure all areas of responsibility are adequately staffed.
Backfill operational roles as required.
Manage appropriate workload distribution and priority setting.
Supervise and lead team members with a focus on engagement and high performance by working with the Workplace Manager to ensure individual goal setting and development plans are in place and updated regularly.
Event Management
Attend client meetings as required.
Liaise with client stakeholders to understand the scheduled of VIP, Board or Leadership meetings and events and maintain a presence during these events as agreed.
Work with external vendor partners e.g. security, handymen, cleaning and catering to ensure event requirements are met and delivered to the highest standards.
Support team with any adhoc / out of protocol event / meeting requests.
Manages required staffing levels for all after-hours VIP events as requested by the client.
Others
Proactively review workplace systems / processes to innovate and continuously improve the customer journey and workplace experience.
Performs other duties as requested by your direct Manager.
Provides relief services during leave and peak periods of activity.
Occasional requirement to work extended hours due to resident requests or to assist with major functions/events.
Development of operational standards / operating manuals for all aspects of the client workplace.
About You
4+yrs Customer Service/ Customer Experience.
2+yrs People Coordinator / Leader experience.
Concierge, Reception / Administration industry background preferred.
Exceptional communication, organizational, and relationship-building skills.
Strong attention to detail, with the ability to manage competing priorities.
Proven problem-solving and critical-thinking capabilities.
