Location: Romania, Bucharest

As a Facilities Support-B4 in the Bucharest office, your role will involve various responsibilities. You will proactively engage with clients and stakeholders to ensure their expectations are met and build strong relationships across different levels of the organization. Being the on-site key point of contact for Facilities, you will manage and oversee procurement processes, ensuring vendors deliver services on time and within budget. Additionally, you will plan and manage contracts, ensuring their professional delivery and monitoring their expiry to initiate re-procurement if required. Financial management, cost control, and adherence to health and safety regulations will also be part of your responsibilities.

Client/Stakeholder ManagementProactively engage stakeholders to ensure that on site client’s expectations are metBuild and develop effective client / stakeholder relationships across multiple levels of the organizationOn-site key point of contact for Facilities in the client’s premisesProcurement & Vendor ManagementEnsure vendors are well-managed, delivering services on time and within budgetEnsure that vendor procurement processes comply with agreed client procurement guidelines as well as Jones Lang LaSalle best practiceContracts ManagementPlan and manage all contracts to ensure that they are professionally delivered at the right costsEnsure expiry of contracts are well-monitored and re-procurement is initiated if neededEnsure contracts are continually assessed to deliver best value to the clientFinance Management / Cost and Spend Control / ProfitabilityActively work to ensure that the site’s financial operations are meeting or exceeding targets and control requirements including the Jones Lang LaSalle Code of EthicsEnsure financial processes are followed at all timesEnsure Health & Safety ManagementEnsure the provision of a safe working environmentEnsure compliance with statutory regulations on fire, health and safety standardsSite Operations Management (JLL and/or supplier staff/services)

Skills:

Excellent people skills and ability to interact with a wide range of client staff and demandsAble to communicate strong in local language. Fluent EnglishKnowledge of Occupational Safety requirementsStrong PC literacy and proven ability to manage daily activities using various systemsKnowledge of quality management and KPI measurementDemonstrated experience with continuous improvement initiatives (highly desirable)Knowledge of vendor management for specialized servicesProven capacity to understand and interpret commercial contracts and relevant termsBudget management and financial analysis skills(Optional as still not in scope for JLL) Knowledge of critical facilities and a understanding of basic technical aspects of property (Computer Room Air-conditioning, Chiller system, Fire Protection system, Mechanical & Electrical system, BMS system)
