As a team of dedicated book-loving professionals, we discover, shape, and share content that nurtures thoughts, dreams, and conversations around the globe, ensuring that both new and established voices are heard.

We’re looking for an organized, proactive, and enthusiastic Workplace Experience Coordinator to join our Office Services team.

Are you passionate about creating a welcoming, safe, and productive environment for colleagues? Do you get energized by providing solutions and creating an exceptional experience at the office? Are you flexible enough to adapt to the ever-changing needs of the office environment?

If this describes you, consider joining us on an exciting journey as we write new chapters of Penguin Random House Canada’s workplace experience story together.

Your contribution to the story:

At Penguin Random House Canada, our Office Services team strives to provide a first-class work environment and experience for both employees and guests. This includes ensuring shared spaces are tidy and well-equipped, keeping essential supplies stocked, and providing logistical support for meetings and events.

Reporting to the Office Services Supervisor, you will provide essential front-of-house hospitality, office logistics support, and event coordination to ensure smooth and effective office operations. Whether it’s greeting visitors, setting up meetings, troubleshooting office printers, or supporting internal events, you will help create a positive and professional environment that supports our teams in doing their best work.

This role will require occasional flexibility in work hours, particularly during large internal events or other team needs.

What you’ll do:

Maintain a welcoming and well-organized office environment.

Provide best-in-class customer service to both internal employees, and external partners.

Ensure tidiness, functionality, and proper supply levels in all office areas, including mailroom, print room, serveries, and coffee stations.

Provide front-of-house support, including reception coverage, greeting visitors, supporting events, and managing incoming calls professionally.

Support internal meeting and event logistics, including refreshments, technology setup, materials preparation, and space arrangements.

Receive, sort, and distribute inbound mail and shipments.

Collaborate with external vendors and internal teams to coordinate office services, catering, or other event-related logistics.

Act as the primary point of contact for workplace experience and office services.

Collect and prepare items for internal redistribution and outbound shipment.

Assist in the preparation and take down of meeting room setups.

Proactively seek out opportunities to assist with and improve office operations.

Experience and knowledge you’ll bring (qualifications):

Experience in customer service, hospitality, office support, or a similar role is strongly preferred.

Ability to manage multiple priorities and multi-task as needed.

A proactive and service-oriented mindset with superb organizational skills and attention to detail.

Working knowledge of Microsoft Office Suite software.

Excellent communication and interpersonal skills.

Collaborative team player with an adaptable, problem-solving mindset.

Enhanced knowledge, awareness, and experience with the culture and history of any community that has faced marginalization is considered a plus.

And of course, a deep passion for books!

We are actively seeking to add team members from communities with lived experiences of marginalization and underrepresentation. We respect and value each individual and their lived experiences and are committed to creating a more diverse team and establishing a culture of belonging. If you self-identify as Black, Indigenous, a person of colour, a member of the LGBTQIA2S+ community or another marginalized group, we strongly encourage you to apply.

This role requires five days per week at our Toronto office located at 320 Front Street West. As such, we require candidates to reside within commuting distance of our office.

To apply, please submit a cover letter and resume by Thursday, February 20, 2025. We appreciate the interest of all applicants; however, only those candidates selected for an interview will be contacted.
