We are looking for a Workplace Experience Site Lead for a new client in the Life Science industry.

About the role:

JLL and the specific client work in great partnership already in regions other than Europe. This role is for a site part of a first wave of production sites, with this specific client in Europe. The scope of our assignment is all services, based out of a manufacturing site, and will be delivered in partnership with our preferred vendors.

The key assignment for the role is the following:

Securing a seamless (no interruptions) business running, referred to Soft Services in GxP environmentPromoting & securing an open and transparent relationship with the client and our vendorsDelivering in a robust manner against the contractual improvement commitments, including specific Quality Compliance requirements and trainings.Inspiring a Continuous Improvement spirit in local team and in service delivery

Areas of Responsibilities:

Administrative FunctionCommunication and Relationship point of contact for Soft ServicesCompliance and KPIs reporting for Soft Services, promoting the “zero” non-conformities culture in pest control, cleaning, laundry.CMMS control – scope mainly related to ticketing, efficiently planning and reporting for Soft Services tasks – planned and on demandAny and all other duties and tasks assigned

Administrative Duties:

Assist Facility Management Team with tactical planning for the team’s goals and objectivesProvide facility specific assistance as needed or requestedManage and maintain small facility management tasks as assignedManage special events in support of client or JLL, ensuring stakeholder satisfactionAssist with budgetary requests, analysis and reportingAssist with researching, analyzing and reporting budget variancesManage the POs to suppliers  Assist with the coordination and scheduling of soft services activities (i.e. Catering, Cleaning…)

Quality and Compliance:

Managing services and records keeping promoting the “zero” non-conformities cultureIn case of findings, support client investigation providing accurate and objective dataContribute to CAPA drafting being part of client team involvedSupport client local team in Authorities audit (FDA, local country, abroad bodies) providing the update d and accurate documents for services in scope.

 

Communication and Relationship Coordination:

Provide general overall facility management services including continuous monitoring of office/facilityAct as an interface with client, visitors and guestsEnsure appropriate follow up with customersPro Provide direction/information to vendors, facilities staff and service providers as required to ensure excellent coordination/execution of work within client environment with minimal disruption

Requirements Essential

Associates degree in facilities management, building, business or other related field5+ years’ experience with Facility or Property AdministrationSuperior customer service skills and orientationAbility to maintain professionalism at all times under stressful situationsAbility to plan and manage work under time constraintsAbility to multitask and work without direct supervisionProficient in MS Office, and possess strong written, verbal and people skillsStrong organizational skills and collaborative styleMust be proficient at Excel Spreadsheets and have capability of customizing administrative reportsFluent in Spanish and English

Requirements Desirable

Bachelor’s degree preferred
