We empower a diverse range of creators to imagine and develop culturally significant content, while building an organization that thrives on creative ideas, operational expertise and strategic thinking.JOB DESCRIPTIONThe Workplace Occupancy Coordinator is a member of our Workplace Team, dedicated to helping to optimize space utilization and supporting data-driven decision-making within the Workplace Team (which is a part of the larger Real Estate department). The Workplace Occupancy Coordinator will coordinate, collect, and input data from various departments for analysis and reporting. The Workplace Occupancy Coordinator will assist in creating occupancy plans and executive reports. The Workplace Occupancy Coordinator will maintain the integrity of space data through regular audits at both on-site and off-site locations. Space Management duties include inputting and managing lease agreement data, facilitating the maintenance and accuracy of office floor plans, and reporting and tracking physical space changes and personnel movements, including new hires and terminations. The Workplace Occupancy Coordinator will participate in construction and IT/software project meetings, providing support and taking notes as needed. The Workplace Occupancy Coordinator will contribute to project-based work, ensuring alignment with occupancy and space management goals. This position will also have administrative functions such as monitoring and responding to all occupancy-related questions. The Workplace Occupancy Coordinator will track and manage invoices for the Workplace team and support the creation of executive decks and presentations.

Data Collecting and Reporting
Analyze and synthesize space management data for decision-making insightsInput data from several sources into the facility management program (FMI)Process all moves, new hires, and terminationsProvide data and analysis for strategic facilities decision support using FMI and Power BISpace Management
Create accurate pictures of space/employee usage using a Facility Management program (FM Systems – FMI)Audit and survey sites in person, on-site and off-site, for data accuracy; update records as neededUpdate seating assignments and office layout changes for staffMaintain precise floor plan details and space dataReport any structural or furniture layout changes to the Workplace Team so they can create changes in the facility management system (FMI)Update and maintain lease informationProject Support
Track and listen in on furniture or construction project meetings we are involved in, inputting information in team documentTrack and listen in on calls/meetings regarding department softwareAdministrative Duties

Experience in the Occupancy Planning field or a detailed, report-oriented environmentExperience in PowerPoint for presentations and Executive decks/reportingMedium to high level of computer experience working in a database environmentBasic arithmetic as it relates to processing of purchase orders, billing, and invoicesBasic to mid-level knowledge of apps such as SLACK, Quip, BoxKnowledgeable with MS Office, especially ExcelNot be afraid of data entry (data is our friend)Ability to read and understand CAD drawingsAbility to communicate effectively with employees at all levels of the companyAbility to organize large volumes of data related to report generation and know and understand VLOOKUP and create Pivot tablesAble to follow directionsDetail oriented and very organizedWritten communicationsLearn new apps or software quicklyGood customer service skillsWorking and communicating using Slack and Zoom to chat or Box for documentsProblem-solvingNICE TO HAVE BUT NOT A DEALBREAKER
